Summary
The Documentation Project Manager reports to the Documentation Manager and performs the following duties:
  • Responsible for coordinating technical documentation preparation for documentation projects. Coordinates and tracks all document preparation for multiple documentation projects to ensure timely submittals.
  • Responsible for assigning and monitoring technical writers to ensure flawless documentation preparation. Coordinates with technical advisors and subject matter experts for document composition and review.
  • Performs reviews and modifications to technical documentation prior to submission to client as well as coordinating information exchanges as required.
  • Arranges status updates and information exchange with customers.
  • Responsible for assisting the documentation department on an overflow basis for project support.

The Documentation Project Manager is also required to be familiar with a large variety of the fields' concepts, practices, and technologies They must rely on extensive experience and judgment to plan and accomplish goals and need to work independently and possess solid communication skills for coordination with clients.
Essential Duties and Responsibilities
  • Assigns Technical Writers as necessary to create documentation including but not limited to Operating Procedures, As-Built Piping and Instrumentation Diagrams, Asset Identification, and Maintenance Procedures.
  • Ensures that each document the writer creates is technically accurate and compliant with the predefined technical writing process.
  • Develops documentation project trackers and schedules.
  • Works alongside the CAD Supervisor for P&ID projects to provide status updates, information exchange, and drawing delivery with the client.
  • Coordinate with CAD Supervisor and field walkdown team to ensure accuracy of field sketches during drawing creation and review.
  • Maintains records and files of work and revisions.
  • Creates and maintains a large Technical Library, including gathering and sorting source and background materials.
  • Perform assessments of customer documentation for technical accuracy.
  • Develop, as needed, and ensure adherence to consistent style and formatting guidelines as defined by the Documentation Department or the client.
  • Manages company documentation projects from pre-sales initiation to long-term customer satisfaction.
  • Manages and directs the technical writer team in accomplishing project timelines, budgets, and quality goals.
  • Collaborates with customers, programmers, engineers, operators, maintenance personnel, and subject matter experts during document design phase to gain an understanding of the product, equipment, and overall project scope.
  • Coordinates with the Sales Department to generate project proposals and project design.
  • Works with the Documentation Manager to ensure adequate personnel and resources are available for each project.
  • Participates in the writing of technical documents, training manuals, operating procedures, technical specifications and reviewing engineering documents and drawings.
  • Adheres to and ensures compliance with all Company policies, rules, procedures, and standards.

The initial salary range is $$110,500 to $127,100 based on experience and qualifications.
Job Requirements:
  • Excellent time management, organizational skills, and extreme attention to detail.
  • Strong working knowledge and ability to read blueprints, schematics, and interpret Engineering documents: Piping and Instrumentation Diagrams (P&ID's), Process Flow Diagrams, General Arrangements, etc.
  • Proficient across various disciplines mechanical, electrical, and controls preferred with a wide degree of project ownership and flexibility is required.
  • Must have the ability to effectively present information, respond to questions from groups of managers, clients, and customers.
  • Ability to successfully manage personnel across multiple projects.
  • Ability to review technical documentation for administrative and technical accuracy.
  • Extensive knowledge of Microsoft software programs and PDF editors i.e. Word, Excel, Outlook, Visio, and Adobe.
  • Ability to track project status, generate project status reports, and meet deadlines within budget and schedule.
  • Adept in collaborating with customers, programmers, engineers, operators, maintenance personnel, and subject matter experts during drawing development phase to ensure the product matches overall project scope.
  • Ability to independently research, develop, and review unfamiliar systems.

Physical Requirements:
  • Ability to work at desk for extended periods of time.
  • Ability to perform system walkdowns at client facility, including climbing stairs and wearing proper personal protective equipment.

Education / Experience:
  • Bachelor's degree (B.S.) from four-year College or university in an engineering or technically advanced field; or six to ten years related experience and/or training; or equivalent combination of education and experience.
  • Minimum of two years of project management or supervisory experience.
  • Five or more years' experience in documentation and technical writing.
  • Must possess a background in power generation, Petro-chemical, or similar heavy industrial plant environment.

Fit for Duty
All employees will participate in the Fitness for Duty Program. This program includes a post-offer physical examination and drug screening and post-employment random drug screening. There are extensive smoking restrictions in and around the facility.
