Job description

As an Artist Relations Coordinator, you'll support the Artist Relations team with administrative and logistical tasks for ongoing projects and initiatives as they drive artist engagement via opportunities and performances for the Grand Ole Opry. You'll coordinate department communications, scheduling, reporting, financial administration, and operational support that enables artist relations programs, industry events, and ongoing team initiatives. As the ideal candidate, you're organized, detail-oriented, and collaborative, with the ability to manage multiple priorities and support exceptional experiences for artists and industry partners.
  • Manage calendars, meetings, and departmental communications.
  • Maintain office supplies, artist gifts, and other department inventory. Coordinate orders, deliveries, shipments, and related administrative support activities..
  • Attend and support meetings and on-site events as needed. Prepare agendas, record meeting notes, track action items, and distribute follow-up materials.
  • Support department presentations and informational materials, including editing and design support.
  • Process invoices, track department expenses, and maintain budget records to support department operations.
  • Maintain artist database, including industry invitation lists, event RSVPs, and outreach lists.
  • Coordinate artist-related requests by maintaining artist schedules and contact information, collecting internal requests, and preparing daily artist itineraries and schedules.
  • Coordinate artist meetings and weekly introduction program by managing schedules, communicating with artist teams, preparing hospitality spaces, arranging artist gifts, providing venue tours, and supporting onsite execution.
  • Support post-show events, artist appearances, and signings by coordinating logistics, promotional deliverables, event setup, and onsite execution with Artist Relations, Retail, Events, and other internal teams.
  • Research pitched artists and provide key details and listening/viewing materials for music meeting review. Track and communicate feedback and decisions while maintaining records of artist evaluations, supporting data, and historical recommendations.
  • Support Opry shows, industry events, and special events through occasional onsite assistance, including evening and weekend hours as needed.
  • Perform other duties as assigned.

Education
  • Degree in Music Business, Hospitality, Communications, Marketing, or related discipline or equivalent experience required

Experience
  • 2+ years' of administrative experience, preferably in the entertainment industry

  • Knowledge, Skills and Abilities
  • Effective written and verbal communication skills
  • Strong organizational and project management skills with exceptional attention to detail
  • Must be able to handle confidential matters with discretion
  • Strong critical thinking, and decision-making skills, with the ability to work independently, exercise sound judgment, and take ownership of responsibilities with minimal day-to-day supervision.
  • Proficient with Microsoft Outlook, Word, PowerPoint, and Excel. Working knowledge of the various facets of the music industry preferred
