Administrative & Executive Support

  • Provide comprehensive administrative support to department leaders and professional staff.

  • Manage complex calendars, scheduling, meeting coordination, and executive support activities.

  • Coordinate office operations and organizational processes to ensure efficient business continuity across departments.

Reporting & Data Analysis

  • Compile, collect, and analyze data for reports, presentations, and business communications.

  • Prepare charts, graphs, tables, and other presentation materials to support departmental objectives and decision-making.

  • Maintain accurate records and generate reports in accordance with established business processes and procedures.

Communication & Document Management

  • Receive, review, and respond to routine correspondence following established guidelines and procedures.

  • Manage document control, records retention, and information organization activities.

  • Prepare, edit, and distribute professional correspondence, reports, and other business documents.

Compliance & Process Coordination

  • Ensure adherence to company policies, business processes, and regulatory requirements.

  • Support departmental compliance initiatives and maintain documentation required for audits and operational reviews.

  • Coordinate administrative activities while maintaining confidentiality and accuracy.

Safety & Professional Standards

  • Perform all work in accordance with site-specific and client-approved safety procedures.

  • Promote a culture of safety, professionalism, and continuous improvement across all administrative functions.

WHAT YOU NEED TO HAVE:

  • High School Diploma or GED required; Associate degree preferred.

  • 15+ years of experience performing executive-level administrative and organizational support functions.

  • Experience supporting leadership teams and coordinating administrative operations.

  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

  • Strong organizational, communication, analytical, and problem-solving skills.

  • Ability to manage multiple priorities while maintaining accuracy and attention to detail.

  • Experience with document management, reporting, and business correspondence.

  • Ability to work independently and collaboratively in a professional environment.

WHAT WOULD BE AMAZING TO HAVE:

  • Prior experience with administrative program management software/technology.

  • Bi-lingual (English/Spanish) is a plus.

Physical Requirements

Primary functions require sufficient physical ability and mobility to work in an office environment; to sit at a workstation for prolonged periods of time; to frequently stoop, bend, reach, twist, grasp and make repetitive hand movement in the performance of daily duties, including computer work; carry, push and/or pull light amounts of weight and occasionally lift and/or move up to 15 pounds; ability to see and hear in normal range with or without correction. Specific vision abilities required by this job include close vision requirements due to computer work.
