HR Coordinator

Hours: Monday – Friday: 8:00 am – 4:30 pm. Every other Friday off at noon.  As needed after hour and weekends.

EDUCATION:
High school diploma required. Additional education preferred.
Education in the healthcare industry a preferred. 

EXPERIENCE:
Office Experience: 2 years required, preferred in healthcare industry.
Customer Service: 1 year preferred. 

QUALIFICATIONS:
Professional demeanor required.

Must be reliable, dependable and on time!

Great phone voice. Answer phones and route calls to appropriate personnel.

Outgoing personality, a real “go getter” with a “positive attitude”.

Detail oriented, able to multi-task and very organized. Excellent verbal and written communication skills.

Must type minimum 45 wpm with 80% accuracy. (typing test required)

Must be able to handle up to 7 multi-phone lines.

Adapt quickly to change.

Work well with others.

Must respect all visitors, management, staff, clients & their families.

Must have subtle skills when handling a client or family member who may be upset or 

have concerns.

Your tone of voice and words are the only judgement the person on the other end of the phone has to determine how much our company cares & how we will handle their concerns. 

These skills can lead to client retention or acquiring a new client. This also applies to other companies, vendors & all incoming calls.

Must agree to preserve the confidentiality of all clients, their families &/or any other 

sensitive information regarding management, employees, company information, etc.

Must have dependable transportation and child care. 

  • JOB FUNCTIONS / RESPONSIBILITIES:
    Answer phones and route calls to appropriate personnel.

  • Handle up to 7 multi-phone lines.

  • Applicant Tracking

  • Staffing and Scheduling 

  • If DSW positions cannot be staffed, the HR Coordinator must report to work.

  • Responsible for answering after hour calls

  • Setting up EVV App and conduct training on the EVV App. 

  • The HR Coordinator is responsible for adding/editing schedules in company systems as needed.

  • Conduct daily follow up with client about staffing.

  • Update DSW and Client schedules in the system

  • HR Coordinator is responsible for answering after hour & staffing calls on a 2 week rotation. On-call is compensated through Holiday Pay and 1/2 Day every other Friday. The on-call worker must answer all incoming calls, change/adjust DSW's time, complete accident/incident reports within 24 hours,conduct client specific and document in system. If a call is missed, the call must be returned within 15 minutes.

  • HR Coordinator must check DSW visits daily to ensure services are provided.

  • Must contact DSW and client within 15 minutes of a missed visit. Utilize existing and inactive DSWs first, before finding new applicants.

  • Process Employee Files. Print out each  document as soon as applicant is completed. Before start date, and as needed to ensure that employee files are up to date. (Driver’s license, driving check, ID, social security, background check, reference check, initial government (before start date and monthly thereafter)and state exclusions (before start date and monthly thereafter). 

  • Orientation-Schedule, Start, Monitor DSW Orientations, and ensure that all test and documents are completed

  • All client & employee documents must be scanned into data base and filed immediately. All required documents MUST BE SCANNED daily

  • Handle filing, generating reports, answer phones, ordering supplies.

  • Immediately report any indication of a potentially significant issue developing, and client complaints to Manager.  

  • Retain proper documentation regarding all client and staff communication.

  • Must sign in and out on the Office Sign-In Sheet, anytime you leave the office. 

  • Keep open lines of communication with office staff.

  • Envelope stuffing & issuing checks. 

  • Ensure all staff sign out when picking up checks.

  • Add all events/visit into calendar in database.

  • You will be a part of our team, therefore, you may be asked to attend & assist in fun community functions, such as: trade shows, fairs or other company events along with other office personnel. You are responsible for maintaining cleanliness of lobby and lobby restroom, vacuum floors daily & wet mop every other Friday (full-day).

  • Responsible for making coffee, keeping coffee area clean, keeping refrigerator stocked at all times.

  • Notify management when supplies are running low: Paper, coffee, cups, cream, sugar, bottled water, toilet paper, paper towels, cleaning supplies, etc. 

  • Run company errands as needed.

  • Immediately report any indication of a potential issue developing.

  • Conduct client specific training for DSWs.

  • The HR Coordinator may be responsible for other HR Coordinator's caseload, in the absence of another HR Coordinator.
