Holy Family Parish is seeking a Full-Time Administrative Assistant to provide administrative support for the parish office while creating a welcoming and hospitable experience for parishioners, visitors, and members of the community.
Reports To: Pastor and Director of Operations
Status: Full-Time, Non-Exempt
Schedule: Monday through Friday, with rotating Saturday office coverage
Compensation: Commensurate with experience
Position Summary
The Administrative Assistant is often the first point of contact for the parish and plays a key role in creating a welcoming, professional, and well-organized office environment. The successful candidate will possess excellent communication and customer service skills, strong organizational abilities, attention to detail, discretion, and a commitment to supporting the mission of the Catholic Church.
Essential Responsibilities
The Administrative Assistant will:
  • Provide administrative support to the Pastor, Director of Operations, and parish staff.
  • Welcome parishioners, visitors, and vendors with warmth, hospitality, and professionalism.
  • Answer and direct telephone calls promptly and courteously.
  • Assist with daily office operations, including:
    • Sorting and distributing mail.
    • Preparing parish mailings.
    • Copying, scanning, and filing documents.
    • Maintaining office supplies.
  • Cross-train in essential parish office functions to provide coverage during staff absences, including:
    • Maintaining the parish calendar.
    • Assisting with weekly collection reconciliation.
    • Balancing petty cash.
    • Supporting the offertory counting process.
  • Maintain confidentiality when handling sensitive parish and personnel information.
  • Perform additional administrative duties and special projects as assigned by the Pastor or Director of Operations.

Qualifications
Qualified candidates should possess:
  • Three or more years of administrative or office experience preferred.
  • Excellent written, verbal, and interpersonal communication skills.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • A welcoming demeanor and a commitment to providing outstanding customer service.
  • The ability to work independently while collaborating effectively with clergy, staff, and volunteers.
