Location: Near Albany, NY
Salary Range: $68,000 – $78,000 annually

Lead Operational Systems, Procurement & Process Excellence in a Fast-Paced Production Environment

Our growing and highly collaborative production client is seeking a detail-oriented and systems-driven Production Systems Manager to support procurement operations, inventory oversight, vendor management, and production process documentation.

This role serves as a key operational resource within the production department, helping ensure systems, inventory, workflows, and documentation remain accurate, organized, and aligned across multiple teams. The ideal candidate is highly organized, analytical, proactive, and comfortable working in a dynamic environment where operational efficiency and communication are critical.


Position Overview

The Production Systems Manager plays a central support role within production operations by overseeing procurement activities, managing vendor relationships, maintaining inventory systems, and ensuring production documentation and SOPs remain accurate and up to date.

This position works cross-functionally with leadership, warehouse operations, client services, accounting, and production support teams to maintain operational continuity and process consistency.


Key Responsibilities

Procurement & Vendor Management

  • Manage the complete procurement lifecycle, including purchasing materials, consumables, and operational               supplies
  • Coordinate purchasing activities based on production forecasts and inventory thresholds
  • Serve as the primary point of contact for vendors and suppliers
  • Maintain strong vendor relationships while ensuring quality, delivery timelines, and cost efficiency
  • Lead purchase order management, reconciliation, and invoice coordination with accounting teams
  • Participate in vendor negotiations and performance evaluations alongside company leadership
  • Resolve supply chain discrepancies, invoice issues, and procurement-related concerns proactively


Inventory & Materials Oversight

  • Maintain accurate inventory data within digital inventory and operational systems
  • Coordinate physical inventory counts and reconcile discrepancies between physical and digital records
  • Generate and analyze operational reporting and usage trends
  • Monitor inventory levels and identify potential shortages or operational risks
  • Support recycling and materials management processes in accordance with operational standards
  • Maintain issue tracking systems to ensure accurate inventory alignment and cost reporting


SOP & Production Documentation Management

  • Maintain and update production documentation, standard operating procedures (SOPs), and knowledge base           systems
  • Collaborate with production leadership to ensure documentation reflects current workflows and operational                 practices
  • Support onboarding and training initiatives through clear and organized procedural documentation
  • Develop and maintain documentation that supports operational consistency and continuous improvement


Systems Integration & Administrative Support

  • Support and manage production-related systems and software platforms used for: 
    • Inventory management
    • Reporting
    • Workflow coordination
    • Operational tracking
  • Participate in system testing, implementation support, and process enhancement initiatives
  • Identify opportunities to improve efficiency through technology, automation, and AI-driven tools


Cross-Department Collaboration

  • Participate in operational planning and leadership meetings
  • Provide continuity support during staff absences or operational coverage needs
  • Act as a resource for team members navigating production systems and workflows
  • Identify operational inefficiencies and recommend process improvements

Qualifications

Required Experience & Skills

  • Experience in: 
    • Procurement
    • Inventory management
    • Supply chain coordination
    • Production support operations
  • Strong proficiency in Microsoft Excel, including: 
    • Reporting
    • Formulas
    • Data analysis
    • Usage tracking
  • Proficiency with Google Workspace (Docs, Sheets, Drive, Gmail)
  • Excellent organizational and documentation skills
  • Strong communication and vendor negotiation abilities
  • Ability to prioritize tasks, work independently, and meet deadlines with minimal supervision
  • High attention to detail and proactive problem-solving skills


Preferred Qualifications

  • Experience within a manufacturing, production, print, or operational environment preferred
  • Familiarity with systems such as: 
    • Smartsheet
    • Asana
    • Gitbook or similar knowledge base platforms
    • Inventory or procurement management systems
  • Interest in emerging technologies and AI-driven workflow improvements
  • Experience developing or maintaining SOPs and operational documentation
