What You'll Do
Roughly 60% personal/family support, 40% executive administrative support:
  • Coordinate calendars, appointments, and logistics for three owners and their families: school activities, medical appointments, caregiving coordination for children and elderly family members.
  • Manage household operations across multiple properties - vendors, home maintenance, deliveries, recurring services.
  • Plan personal events, celebrations, and special occasions, and handle personal errands with discretion.
  • Arrange personal and business travel: flights, hotels, transportation, and detailed itineraries, and handle last-minute changes with minimal owner involvement.
  • Own complex calendars, balancing business and personal commitments and catching conflicts before they happen.
  • Manage correspondence, expense reports, and administrative workflows for the ownership group.
  • Independently prioritize competing requests from three different owners, knowing when to act, when to ask, and when to escalate.
  • Handle sensitive business, financial, family, and personal information with absolute confidentiality.

Who You Are
  • 3+ years of experience as an Executive Assistant, Personal Assistant, or Family Office Assistant - ideally supporting multiple principals or a household with complex logistics.
  • Discreet by nature. You've handled sensitive information before, and people trust you with it.
  • A natural at reading people - comfortable adapting your style across three distinct personalities, and with family members from young kids to elderly relatives.
  • Organized without being rigid - you build systems, but you also roll with last-minute chaos gracefully.
  • Reliable transportation and a genuine willingness to travel regularly between Irving, Plano/Frisco, and Southlake.
  • Comfortable with occasional evening or weekend needs when something truly can't wait.
  • Background or experience in healthcare coordination (medical scheduling, caregiving support, insurance/appointment navigation, or similar) is a plus, given this role's healthcare-related coordination responsibilities; not required, but a strong fit.

Compensation & Benefits
  • $65,000-$90,000 annually, based on experience.
