GENERAL PURPOSE OF JOB: Provide administrative and operational support to ensure the smooth functioning of the Facilities Services department and help maintain efficiency and high standards across all facilities services.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Keep the big picture in mind when making decisions.
- Maintain the high Woodloch standards of hospitality, cleanliness, and quality.
- Ensure all guest concerns and maintenance problems receive the highest priority.
- Organize and maintain an efficient office operation.
- Cross-train/coordinate and share responsibilities with other maintenance/landscape/vehicle maintenance administrative staff - (To be started at a later date)
- Generate and monitor work orders, maintain equipment inventory and history, etc.
- Keep accurate records of work orders, hours worked, and materials for billing purposes.
- Handle incoming and outgoing phone calls/FAX/E-Mail/radio calls.
- Record/ pass on messages via phone, radio, e-mail, or voice mail.
- Monitor office voice mail.
- Accurately report hours and materials used in other departments.
- Coordinate shipping / receiving of maintenance items.
- Maintain office supplies and equipment.
- Coordinate pick-ups and drop-offs with Woodloch's courier.

SCHEDULE REQUIREMENTS
Must be able to work all shifts, including weekends, and have a flexible schedule.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience. Related experience in the clerical field
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to effectively present information in one-on-one and small group situations to customers, suppliers, and other employees of the organization. Ability to read, analyze, and interpret general business periodicals, governmental regulations, financial reports, and legal documents. Ability to write reports, business correspondence, and procedure manuals.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations
REASONING ABILITY
Ability to solve practical problems, Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables
CERTIFICATE, LICENSES, and REGISTRATIONS
Must possess a valid Driver's License and Current CPR certification

While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The employee is occasionally exposed to moving mechanical parts; fumes or airborne particles; and risk of electrical shock in the repair shop environment however most work will be performed in a climate-controlled office space. May occasionally be required to travel to other work/storage areas to gather data or check supplies/inventory. Travel to other Woodloch facilities or off-property locations may be required to pick up materials, attend training, etc.
The noise level in the environment is moderate.
