Strategic EA/COS to COO at Boutique Hedge Fund--Midtown 5x a week

Our client, a boutique hedge fund, is seeking a highly capable and strategic EA/Chief of Staff to support the COO. This is a high-impact role at the center of the firm’s operations, serving as a true extension of leadership and helping to drive priorities, execution, and communication across the organization.

This individual will play a critical role in ensuring the firm operates efficiently and effectively, managing the flow of information, tracking key initiatives, and driving follow-through across teams. The ideal candidate has experience operating in a fast-paced investment management or financial services environment and brings a strong combination of executive support, operational, and strategic capabilities.

RESPONSIBILITIES:

  • Serve as a strategic partner to the COO, helping manage priorities, track initiatives, and ensure follow-through across the firm
  • Oversee the operating cadence of the investment team, including coordinating weekly agendas, research workflows, and key deliverables
  • Track research outputs, investment activity, and internal deadlines, ensuring accountability and timely execution
  • Support the coordination of investment pipeline activity, including private, crossover, and IPO opportunities
  • Manage the COO’s calendar, meeting preparation, follow-ups, and action item tracking
  • Triage competing priorities across the firm and help drive alignment across teams
  • Serve as a central point of coordination across internal stakeholders, ensuring clear communication and connectivity
  • Support onboarding processes and coordinate with external recruiters across active searches
  • Oversee internal programs including advisory initiatives and internship programming
  • Drive internal communications and contribute to a cohesive, transparent firm culture
  • Assist with planning and execution of firm-wide events and employee experience initiatives
  • Identify opportunities to streamline workflows and improve operational efficiency across the firm
  • Leverage AI and technology tools to enhance communication, reporting, and administrative processes
  • Partner with internal teams on systems, tools, and process improvements to support scalability
  • Take on ad hoc strategic and operational projects as needed

REQUIREMENTS:

  • 7+ years of experience in a Chief of Staff, Executive Business Partner, or senior Executive Assistant role within financial services, investment management, or a professional services environment
  • Direct experience supporting senior leadership within an investment or research-driven organization strongly preferred
  • Strong ability to synthesize complex information into clear, actionable insights and materials
  • Experience coordinating across multiple stakeholders and managing cross-functional workflows
  • Exceptional organizational skills with the ability to manage competing priorities in a fast-paced environment
  • Strong written and verbal communication skills, with the ability to draft polished materials on behalf of leadership
  • High level of professionalism, discretion, and emotional intelligence
  • Proven ability to build trust and operate as a credible extension of senior leadership
  • Experience with internal events, employee experience initiatives, or culture programming is a plus
  • Proficiency in Microsoft Office and Google Suite; familiarity with CRM systems preferred
  • Comfort with AI tools (e.g., ChatGPT, Copilot) and interest in leveraging technology to improve workflows
  • Process-oriented mindset with a focus on efficiency and continuous improvement
HOURS
  • Monday through Friday onsite in Midtown West office
  • 8:30-5:30pm + flexibility for OT as needed
COMPENSATION
  • $150,000–$200,000 base
  • Discretionary bonus
