Position Description

The Patient Relations Representative (PR Rep) is the person who acts as a line of defense against data entry errors and billing errors passing through unnoticed. The #1 goal of the PR Rep is to ensure that patients who are billed are billed correctly. The main task for the PR Rep will be to take phone calls delegated through a queue and work with patients in a cheerful and professional manner to help them understand why they owe what they owe or help fix the information in the software to get the claim paid by the insurance.

Position Responsibilities

1. Answer patient phone calls that are delegated through the queue and work with patients in a cheerful and professional manner.

2. Accurately inform patients why they owe a bill

3. Fix billing or data entry errors previously made to ensure that patients are not billed incorrectly.

4. Use the down time between calls to work projects that help proactively catch billing or data entry errors. These include projects like checking for a patient’s correct home address and/or checking to see if a patient has a secondary insurance.

5. Call patients who owe a balance over $500 and attempt to enact a payment plan as an alternative to sending them to collections.

6. Process patient payments through the credit card merchant services software.

7. Offer payment plans to patients who are struggling to pay their bill or work with the PR Rep’s supervisor for reduction requests.

8. Perform adjustments to patient balances only when authorized by a supervisor.

9. Work with the collection agency and answer their requests for information.

10. Answer requests for information when patients contact us either through our portal or via email

11. Navigate insurance, third party and EHR portals to obtain Patient Health Information (PHI), while maintaining HIPAA standards.

Maintain and monitor trainings and processes that pertain to the PR Rep’s position.

Position Requirements

Technical Skills

• 2 years in relevant experience or successful completion of externship through reCLAIM Billing Solutions
• Bachelor’s degree (preferred)
• Spanish speaker (preferred)
• Revenue Cycle Management (RCM) knowledge
• Candidate will need to know the claim cycle and how claim processing works
• Critical thinking and problem-solving skills
• Meticulous at note taking and organized
• Drive to generate results
• Fast learner
• Ability to work in fast-paced environment and maintain a sense of urgency
• Client-centered mentality and passion for customer service
