Estimating Support + Clear Path to Inside Sales

About the Role
Signs of Success is looking for a motivated, organized, people-oriented Administrative & Sales Coordinator to join our growing team.
This is a hands-on role at the front end of our sales process. You will help customers get started, gather the right project details, prepare simple to moderately complex estimates, follow up on open leads, and keep sales information organized so projects can move forward smoothly.
If you enjoy talking with customers, keeping details straight, learning how products are priced, and taking ownership of follow-up, this could be a great fit. This role is also designed as a growth path into inside sales or account management for the right person.
What You’ll Do
  • Greet walk-in customers and answer phones with a friendly, solution-focused approach.
  • Handle sales lead intake by gathering customer contact information, project details, photos, files, measurements, deadlines, and other key information.
  • Qualify incoming opportunities and route them to the right salesperson, designer, estimator, or project manager.
  • Prepare simple to moderately complex estimates and quotes using established pricing tools, product knowledge, customer details, drawings, photos, measurements, and guidance from sales/design when needed.
  • Support more complex estimates by organizing files, clarifying project details, gathering missing information, and preparing clean handoff notes.
  • Follow up on open quotes, active leads, and customer questions so opportunities do not fall through the cracks.
  • Create and maintain organized job folders, customer records, project documentation, and order paperwork.
  • Support will-call, customer pickups, payment collection, and pickup documentation.
  • Keep CRM, project, and accounting systems accurate and up to date.
  • Communicate clearly with customers and internal team members to keep projects moving.
  • Spot natural upsell or add-on opportunities when they make sense for the customer.
Growth Path
This role is built so the right person can grow into an inside sales or account representative position.
Over time, you will learn signage products, materials, options, pricing, common project types, customer needs, and how to manage smaller and moderately complex sales projects as the primary point of contact. Strong performers can grow with the role and help build the next level of our sales team.

Preferred Background
  • 1-3 years in admin, customer service, sales support, order coordination, estimating support, front-office work, or a similar role.
  • Experience preparing quotes, estimates, invoices, proposals, work orders, or order documents is helpful.
  • Comfort with Microsoft Office, Google Workspace, CRM systems, order management systems, or similar software.
  • Interest in sales, construction, manufacturing, design, printing, or signage is a plus.
