Job description

Overview

As one of the nation's leading electric transmission line construction companies, MasTec Power Delivery companies engineer and construct efficient and reliable electrical transmission, distribution, and substation & switchyard systems. The Project Coordinator is primarily responsible for the controlled exchange, review, and approval of the Greenlink program critical documents and deliverables. This position plays a key role in ensuring that accurate and current information is available to support decision-making, compliance and performance monitoring across the program. This role will work closely with the Construction Project Management teams to manage project documentation, Procore workflows, and communication tracking, while reporting directly to the Director of Operational Controls. The ideal candidate can manage multiple tasks simultaneously, with excellent organizational skills and a strong attention to detail.

Hourly Rate: $30-40 per hour depending on experience 

Responsibilities

Project Management / Documentation Support

  • Manage and maintain project documentation in Procore, ensuring proper metadata, version control and documentation accuracy
  • Support the intake, quality check, and registration of RFIs, specifications, technical reports, and other project deliverables
  • Distribute, track, and monitor RFIs, submittals and other project documentation to ensure timely responses
  • Ensure incoming and outgoing documents meet company standards and formatting requirements
  • Maintain document logs and provide status updates on outstanding items
  • Monitor document turnaround times and escalate bottlenecks to ensure timely response and adherence to schedule requirements
  • Assist with preparation and coordination of reports and project deliverables
  • Attend project meetings as needed and prepare meeting minutes and action item summaries
  • Collaborate communication flow between project team members and external stakeholders
  • Support project managers with administrative coordination to maintain organized and compliant project files
  • Validate that documents confirm to program naming conventions, metadata standards, and distribution matrices
  • Support internal and external audits by preparing document logs and traceability reports
  • Provide guidance, training, and troubleshooting assistance to project team members on document management systems and procedures

Operational Controls & Systems Support

  • Maintain consistency across internal documentation systems and workflows
  • Support tracking and reporting initiatives related to project data and internal controls
  • Help maintain standardized templates, folder structures, and document naming conventions
  • Provide administrative support for operational initiatives, process improvements, and system updates
  • Identify gaps or inefficiencies in documentation workflows and recommend structured improvements
  • Provide assistant-level support for Greenlink initiatives as needed
Qualifications

Education and/ or Work Experience:

  • Experience using Procore required
  • An associate degree or higher (or equivalent years of direct project coordination work experience) required
  • Minimum 2 years of experience in document management within an engineering or construction administration environment
  • Proficiency with structured document management systems such as Sharepoint
  • Familiarity with construction document control standards preferred
