About the Role

We're seeking an experienced Project Manager who thrives in a fast-paced print manufacturing environment and enjoys bringing complex projects to life.  In this on-site role you are responsible for managing digital print and mailing projects from order entry though billing while serving as a primary point of contact for customers, sales and internal operations.  Coordinates cross-functional activities to ensure projects are completed accurately, on time, within established requirements and to customer expectations.


Essential Duties and Responsibilities 

  • Serve as the primary liaison among customers, Sales, Estimating, Data Services, Prepress, Scheduling, Production, Mailing, Shipping, and Billing.
  • Manage multiple client projects simultaneously from order entry through final delivery and billing.
  • Review orders against approved estimates and customer requirements; confirm specifications, quantities, materials, schedules, and delivery information are complete and accurate.
  • Create and maintain accurate job documentation, instructions, change information, and supporting records within company systems.
  • Coordinate proofs, samples, data, materials, outside purchases, and other preproduction requirements to support planned production schedules.
  • Monitor project milestones and production activity; identify risks early, drive issue resolution, and communicate schedule or scope changes proactively.
  • Communicate project status, decisions, risks, and customer-impacting issues clearly and timely to customers, Sales, and internal stakeholders.
  • Coordinate customer approvals and ensure required approvals and documentation are obtained before production.
  • Manage changes to project scope or specifications and ensure updated information is communicated and documented across affected departments.
  • Support delivery, mailing, shipping, inventory, and reporting requirements based on customer and job specifications.
  • Prepare complete and accurate billing documentation and submit completed jobs to Billing within established timelines; support invoice review and resolution of questions.
  • Maintain customer-specific knowledge, recurring job information, and documentation needed to ensure continuity and consistent execution.
  • Build effective customer and internal relationships through responsiveness, accountability, collaboration, and problem solving.
  • Participate in continuous improvement efforts, process standardization, and adoption of tools that improve quality, visibility, and efficiency.
  • Perform other duties as assigned.

Requirements

Education and Experience

  • Bachelor's degree in business, graphic communications, project management, or a related field preferred; equivalent relevant experience will be considered.
  • Minimum of three years of project management, customer service, or print manufacturing experience required.
  • Experience managing complex digital print, direct mail, or marketing production projects strongly preferred.
  • Experience with prepress, finishing, mailing, fulfillment, or related production operations preferred.

Qualifications

  • Strong written and verbal communication skills with the ability to communicate effectively with customers, Sales, and cross-functional teams.
  • Demonstrated ability to manage multiple priorities, detailed specifications, deadlines, and changing requirements in a fast-paced manufacturing environment.
  • Ability to identify risks, evaluate options, coordinate resources, and drive issues to resolution while maintaining customer confidence.
  • Working knowledge of commercial print production, including digital print, prepress, finishing, mailing, fulfillment, and related documentation.


Travel:

Minimal local travel may be required for meetings, trainings, and/or other business purposes.
