Position Summary

The Program Coordinator Government & Delivery will support the successful coordination and delivery of BrightQuery s federal and commercial projects. This role will manage project meetings, documentation, action items, schedules, milestones, stakeholder communications, and deliverable tracking.

The ideal candidate will serve as a reliable point of contact for federal agency personnel, partners, subcontractors, and internal teams. This is a non-technical, non-compliance-focused role centered on organization, communication, follow-up, and ensuring projects remain on track.

Key Responsibilities
  • Coordinate the meeting cadence for federal projects, including scheduling, agendas, meeting notes, decisions, and action-item tracking.
  • Follow up with stakeholders on outstanding tasks and ensure action items are completed on time.
  • Identify delayed or at-risk activities and escalate issues before they impact project delivery.
  • Maintain project plans, milestone schedules, calendars, and status information.
  • Serve as the day-to-day point of contact for government agency personnel, partners, and subcontractors.
  • Prepare, format, organize, and track proposals, project deliverables, and supporting documentation.
  • Monitor proposal and deliverable submission deadlines.
  • Maintain and update past-performance documentation and related materials.
  • Coordinate background checks, clearances, site access, and other government project onboarding requirements.
  • Maintain organized project documentation, folders, file versions, and records of submitted materials.
  • Support commercial projects through meeting coordination, correspondence, action tracking, and onboarding activities.
  • Collaborate effectively with technical and engineering teams and understand project discussions sufficiently to support coordination.
  • Ensure stakeholders have timely, accurate, and actionable project information.
Required Qualifications
  • Mandatory: Demonstrated experience coordinating or supporting actual federal or state government projects/programs.
  • Candidates must be able to clearly describe their experience with government program/project delivery.
  • Commercial project experience alone, including work for companies that serve government clients, does not satisfy this requirement.
  • 4+ years of project or program coordination experience, including government-sector experience.

  • Ability to pass an FBI background check.
  • Excellent verbal and written communication skills.
  • Strong interpersonal and relationship-building skills.
  • Comfortable serving as the primary day-to-day contact for government stakeholders.
  • Highly organized, proactive, and detail-oriented.
  • Strong follow-up skills with the ability to drive open items to completion.
  • Excellent documentation and organizational skills.
  • Experience with Confluence, Jira, Google Workspace, and Microsoft Office.
Preferred Qualifications
  • PMP certification.
  • Existing FBI clearance.
  • Experience working with NSF, NCSES, DOE, or DoD.
  • Proposal or RFP coordination experience.
  • Familiarity with SBIR/STTR or BAA processes.
  • East Coast location, particularly Virginia.
  • Experience supporting in-person government agency meetings.
  • Sufficient technical literacy to understand engineering discussions without requiring extensive translation.
