We are seeking a detail-oriented and highly organized HR Administrative Assistant to support the daily administrative operations of the Human Resources department. This role is primarily responsible for data entry, record management, documentation processing, and maintaining the accuracy of employee information across HR systems. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can effectively manage multiple administrative tasks while handling confidential information with professionalism and discretion.

Location: This position is on-site at our headquarters office in Golden Valley, MN.

Essential Functions:

  • Perform accurate data entry and maintenance of employee information within the Human Resources Information System (HRIS).
  • Create, update, organize, and maintain employee personnel files and HR documentation in accordance with company policies and record retention requirements.
  • Process and track employee status changes, including hires, transfers, promotions, compensation changes, and terminations.
  • Prepare, distribute, and file employment-related documents, including offer letters, onboarding packets, policy acknowledgments, and other HR forms.
  • Support onboarding and offboarding activities by collecting required documentation, updating systems, and ensuring completion of all administrative requirements.
  • Maintain employee records related to certifications, licenses, training, and compliance requirements.
  • Assist with payroll administration by entering and verifying employee data, benefits information, and employee changes for payroll processing.
  • Monitor and update time-off records, holiday schedules, and other employee data as needed.
  • Conduct routine audits of HR records and systems to ensure data accuracy, completeness, and compliance.
  • Assist with benefits administration by maintaining enrollment records and processing employee forms and documentation.
  • Prepare reports, spreadsheets, and supporting documentation for HR, payroll, compliance, and leadership requests.
  • Manage incoming HR correspondence, including monitoring shared inboxes and responding to routine employee inquiries.
  • Maintain and update HR procedures, templates, forms, and administrative documentation.
  • Provide general administrative support to the Human Resources team, including filing, document management, tracking invoices, and coordinating internal communications.
  • Ensure sensitive employee information is handled with the highest level of confidentiality and professionalism.

Qualifications:

  • 2+ years of administrative, HR administrative, or office support experience preferred.
  • Experience with data entry and maintaining accurate electronic records.
  • Customer service type of mindset.
  • Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
  • Experience working with HRIS, payroll, or other employee information systems preferred.
  • Strong organizational, time management, and multitasking skills.
  • Exceptional attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with discretion.
  • Strong written and verbal communication skills.
  • Ability to work independently while collaborating effectively with internal teams.
