GME Residency Program Administrator

Howard University Hospital | Washington, DC

Role Summary

As a GME Residency Program Administrator at Howard University Hospital, you will provide comprehensive administrative leadership for all phases of the Residency Training Program in your assigned department(s) — managing program databases and systems, coordinating resident recruitment, supporting ACGME accreditation and compliance, and serving as the primary liaison between the Program Director, the GME Office, residents and fellows, medical schools, affiliated institutions, and external regulatory bodies including ACGME, NRMP, ERAS, and specialty boards.

What You’ll Do

Recruitment & Match

  • Under the direction of the Program Director and GME Director, receive and screen applicants for postgraduate training; ensure application completeness and maintain comprehensive applicant files
  • Schedule and coordinate candidate interviews, provide administrative support across all phases of the recruitment cycle, and support the Match process through ERAS and NRMP
  • Maintain required paperwork for international medical graduates (IMGs) and post-graduates to ensure compliance with federal, state, and hospital regulations — including DC Health Professions post-graduate registration or licensure and acquisition of NPI numbers

ACGME Accreditation & Compliance

  • Assist in maintaining program accreditation with ACGME and applicable specialty councils; prepare and coordinate materials and resources for self-study, site visits, and annual reviews
  • Assist in reviewing, developing, implementing, and enforcing program-specific policies required by the ACGME and other accrediting bodies
  • Monitor and complete required updates on applicable websites, surveys, and electronic databases to ensure ongoing compliance and data integrity

Evaluations & Milestones

  • Monitor and coordinate the evaluation process to ensure ACGME milestone evaluations are captured accurately and on schedule
  • Assist with the Annual Program Evaluation (APE) and ensure timely submission to the GME Office
  • Collate and prepare statistical data for Clinical Competency Committee (CCC) meetings and semi-annual evaluations

Program Operations & Scheduling

  • Prepare monthly on-call schedules in the residency management software system and distribute to the Program Director’s office, faculty, and affiliated training sites
  • Coordinate faculty and resident rotations, on-call coverage, duty hours, and vacation schedules
  • Plan, organize, and coordinate departmental meetings and special events — from conference room reservations and invitation tracking to food and beverage coordination, vendor payment, and A/V setup

Database & Systems Management

  • Maintain post-graduate statistical data in the New Innovations Residency Management Suite, ERAS, and AAMC GME Track
  • Monitor and maintain accurate conference attendance, duty hours, and training documentation; coordinate annual record of training for all residents

Communications & Administrative Support

  • Compose high-level correspondence, spreadsheets, and presentations independently and with professional quality; edit and proofread written materials and verify data accuracy
  • Assist residents, fellows, and the Program Director with preparation and submission of abstracts, manuscripts, posters, and presentations as needed
  • Serve as a liaison for residents on benefits and Human Resources matters; complete weekly payroll in Kronos and monitor resident time and attendance
  • Prepare purchase requisitions, meal stipends, educational leave, travel, and conference arrangements consistent with program budget allocations

Required Qualifications

  • Bachelor’s degree in Business Administration, Health Services Administration, Education, or a related field; an equivalent combination of education and substantive administrative experience in a hospital or academic medical setting may be considered
  • Minimum three (3) years of substantive administrative experience, preferably in an academic medical center or accredited training program
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and web-based applications and databases
  • Strong written and verbal communication skills, with the ability to compose professional correspondence, presentations, and reports independently and with minimal editing
  • Demonstrated ability to exercise sound judgment, tact, and discretion when handling sensitive or confidential personnel, academic, and regulatory matters
  • Strong organizational and project-coordination skills, with proven ability to manage multiple priorities, deadlines, and recurring annual cycles

Preferred Qualifications

  • Prior experience supporting graduate medical education or physician training programs
  • Training Administrators of Graduate Medical Education (TAGME) certification
  • Proficiency in the New Innovations Residency Management Suite, ERAS, and AAMC GME Track
  • Working knowledge of ACGME, NRMP, and specialty board requirements

Pay & Schedule

This is a full-time, exempt position. Hire-in salary range: $60,000 – $74,000 annually, commensurate with experience and qualifications.
