Overview

The Wisconsin Foundation and Alumni Association (WFAA)*, the private fundraising and alumni relations organization for the UW-Madison, is recruiting for a Gift Services Manager.ย 

The Gift Services Manager oversees the gift processing functions for specified channels, including staff supervision, gift entry, and gift-related communications.ย 

Please note: We are open to hire this position to work remotely, with periodic travel to Madison expected throughout the year.ย  Remote candidates must reside in one of the following states: Arizona, Colorado, Illinois, Iowa,ย  Nebraska, New Mexico, New York, Texas, or Wisconsin.

Essential Functions
  • Oversee the end-to-end gift management of assigned gift channels, including batch preparation, gift entry, gift handling and deposits, batch review and reconciliation.
    • This role will also be a key contributor to day-to-day tasks, such as gift entry
  • Monitor workload and staff assignment to ensure gifts are entered in a timely way.
  • Perform quality checks to ensure gifts are entered accurately, to WFAA and industry standards.
  • Serve as subject matter expert for assigned gift channels.
  • Develop and maintain documentation for assigned gift channels.
  • Oversee refunds and chargebacks for assigned channels. Perform gift adjustments as needed.
  • Manage vendor relationships for assigned channels, such as lockbox vendor, credit card vendors, and mail houses.
  • Create appeals, benefits and reviews reply devices for channel.
  • Maintain expertise on industry best practices for Gift Processing.
  • Contribute to team strategy.
  • Manage a team of Gift Processing Analysts.
    • Provide leadership, supervision, mentoring and development to team.
    • As needed, lead recruitment for new team members.
    • Conduct onboarding and ongoing training on assigned gift channels.
    • Establish staff assignments and accountabilities.
    • Foster a positive team environment and culture, optimizing team performance, satisfaction and retention.
Qualifications

Required Qualifications:

  • Bachelor's degree or equivalent experience.
  • 3+ years' gift processing experience, or equivalent in business operations, customer service or data management roles.
  • Previous supervisory or team lead experience.
  • Solid knowledge of accounting principles and/or information systems.
  • Advanced MS Office experience, specifically advanced knowledge of Excel.
  • Experience with query and reporting.
  • Experience in customer/constituent relationship management (CRM) software such as Salesforce CRM.

ย Other Qualifications:

  • Non-profit fundraising experience and knowledge of non-profit fiscal policies, procedures, rules and regulations.
  • Previous supervisory experience.
