Brown Brothers Harriman is currently recruiting a Senior Facilities Management Specialist to join our Enterprise Services team. In this position, you will support the Facilities Manager in monitoring, operating, and coordinating the day-to-day essential facilities operations at the Jersey City office, with occasional days in the Manhattan office. Operation, monitoring, maintenance and repair of this facility includes but is not limited to ensuring a productive reliable and comfortable workplace for several hundred employees, maintaining facilities assets (i.e. furniture, appliances, tenant services), safety, comfort, space planning, move coordination, and vendor resources and controls. You will also assist the Facilities Manager with all support services provided by Enterprise Services that require Facilities Management support, general preventative maintenance and controls. This position works closely with BBH Systems teams and business line management, as well as the building's Property Management Office, cleaners, and building engineers.
Key Responsibilities
Strategic Planning & Data Management
  • Support the Facility Manager in planning and executing maintenance, upgrades, and repair projects, ensuing alignment with operational priorities, budget parameters, and workplace standards.
  • Maintain accurate floorplans and occupancy data within the firm's space management system across all global sites; assist the Occupancy Controller with space allocations and coordinate rebalancing efforts to optimize utilization.
  • Serve as the primary coordinator for facilities-related data, including the tracking and reporting of greenhouse gas (GHG) emissions; collaborate with global facilities and office managers to ensure data is collected regularly, verified with appropriate documentation, and accurately entered the firm's GHG accounting system.
  • Collaborate with BBH systems teams to troubleshoot and implement updates to the Building Management System (BMS) and other facility-related software, ensuring secure, reliable, and functional operations.

Operational Oversight & Vendor Management
  • Deliver comprehensive facility management services, encompassing continuous oversight to facility operations and infrastructure to ensure optimal functionality, safety, and efficiency.
  • Conduct daily walkthroughs of all facility floors to verify safe, efficient, and complaint operations, promptly addressing any issues or irregularities.
  • Provide daily coordination, active management, and oversight of BBH vendors to ensure high-quality performance, adherence to service agreements, timely resolutions of operational needs, and property management requirements.
  • Support vendors throughout the compliance onboarding process by ensuring all due diligence assessments are completed and required documentations - such as certificates of insurance - is collected, verified and stored.
  • Manage, track, and resolve all requests submitted through the firm's office management and service request platform, ensuring timely follow-up, accurate documentation, and effective resolution.
  • Maintains a professional and collaborative relationship with property management teams, ensuring clear communication, alignment on building operations, and lease obligations.

Enterprise Services & Employee Support
  • Coordinate and oversee departmental relocations, ensuring minimal disruption to operations; provide support to employees with hoteling arrangements and workspace-related inquiries.
  • Perform or coordinate repairs installations, and routine maintenance of office spaces, including furniture, fixtures, and equipment, to ensure a functional and well-maintained work environment.
  • Maintain and regularly update site documentation, including internal webpages, to ensure accuracy, accessibility, and alignment with current operational standards.
  • Demonstrate a strong customer service mindset, ensuring employees receive timely, professional support and positive experience.

Qualifications
  • 2 - 4 years facility management experience in a professional environment.
  • BA/BS degree or equivalent required.
  • Strong leadership and vendor management skills, and compliance.
  • Excellent organizational, communication, and stakeholder engagement skills.
  • Demonstrated ability to manage projects and cross-functional initiatives.
  • Familiarity with sustainability reporting and greenhouse gas tracking is a plus.
  • Proficiency in space management, HVAC, and building management or like systems.
  • Willingness to be available outside of standard business hours and on occasional weekends for specific work planned in advance, and unforeseen emergency facility issues that may arise.
  • In office role, based in Jersey City 5 days a week, including occasional days in the Manhattan office.
  • Must be able to lift and move up to 50 lbs.

Salary Range
NY/NJ: $75,000 - $85,000 base salary + target annual bonus

The anticipated base salary range(s) shown above are only for the indicated location(s) and may differ in other locations due to cost of living and labor considerations. Base salaries may vary based on factors such as skill, experience and qualification for the role.
