The Program Coordinator reports to the Program Director of the Surgical Residency Program.
In accordance with ACGME Common and Surgical Specialty Program Requirements, the Program Coordinator (PC) collaborates with the Program Director (PD) in the management of the day-to-day operations of the program and serves as an important liaison and facilitator between the learners, faculty and other staff members, and the ACGME. This position provides dedicated time for Coordinator functions and other admin support, based on program size, as defined by the ACGME Internal Medicine Program Requirements. (0.8 FTE)
The program coordinator is a key member of the leadership team and is critical to the success of the program. As such, the program coordinator must possess skills in leadership and personnel management appropriate to the complexity of the program. Program coordinators are expected to develop in-depth knowledge of the ACGME and Program Requirements, including policies and procedures. Program coordinators assist the program director in meeting accreditation requirements, educational programming, and support of residents. Program coordinators collaborate with each other and the institutional coordinator on program areas that overlap.
The surgical residency program coordinator will also assist the Institutional Coordinator with GME student placement services. This involves coordinating rotations for Advanced Student Services at Valley Health, which includes the student onboarding process. (0.2 FTE)
Other specific job responsibilities include:
  • Support resident recruitment, eligibility determination, interviewing, selection, onboarding, and orientation. Specific tasks may include ensuring new residents obtain Virginia temporary medical license; enroll in PECOS, Virginia, and West Virginia Medicaid programs; complete EPIC training and required Valley Health credentialing steps; and setting-up malpractice insurance.
  • Serve as program expert and primary point of contact for Residency Management System (RMS)
  • Prepare annual IRIS report for Medicare reimbursement
  • Manage resident on-call and clinic schedules, rotations, and lectures; prepare annual rotation schedules and make necessary adjustments throughout the year
  • Monitor resident work hour compliance, including use of vacation and leaves of absence
  • Manage resident evaluation process within RMS
  • Coordinate resident exam schedules
  • Process faculty and resident CME expenses/reimbursements and other expenses
  • Collaborate with other Program Coordinators and Institutional Coordinator to plan program and Graduate Medical Education events, to include retreats, resident wellness activities, and annual graduation ceremony
  • Collaborate with other Program Coordinators and Institutional Coordinator to share best practices and ensure consistency across Valley Health's GME programs
  • Manage and update the program website in coordination with the Valley Health Marketing Department
  • Participate in continuing education and other activities to ensure continued professional development

Additional responsibilities - Student services
  • Support the Institutional coordinator with visiting student rotations

Education
Two-year associate degree preferred; or HS plus two years prior experience as a Residency Program Coordinator in an academic medical setting, health care, or education field preferred.
Certification & Licensures
TAGME Certification preferred (National Program Coordinator Certification).
Qualifications
Strong people skills.
Ability to work independently.
Strong Microsoft Suite (Excel, Word, PowerPoint) computer aptitude required; experience with Residency Management Systems and other GME-relevant databases desired.
Good time management skills.
Demonstrates professional expertise and communication within multiple environments and maintaining confidentiality of program information.
