Salary Range: $160,000.00 - $185,000.00 Salary/year

POSITION SUMMARY:

The Office manager coordinates and oversees administrative duties in the office and ensures that the office operates efficiently and smoothly.

DUTIES & RESPONSIBILITIES:
  • Performs all administrative functions as requested by the General Manager in a quality manner.
  • Assists General Manager with preparing and distributing Requests for Proposals
  • Prepare and maintain Bid Comparison spreadsheet.
  • Set up and maintain project bid files – hard files and electronic files.
  • Set up Construction folders for Operations Manager
  • Prepare Opening and Closing Notices for General Manager to complete – include photos of new tenants.
  • Works with all office staff to provide effective liaison between management, customers, and merchants.
  • Provides administrative support to shopping center staff; including general correspondence and memoranda; answers telephones and directs calls; assists Receptionist in responding to customer inquiries and provides supplemental oversight of receptionist performance as well as substitute Receptionists.
  • Assists in arranging meetings as staff requires and manages Conference Room scheduling.
  • Orders office supplies; kitchen supplies and items necessary for conference room functions. Monitors all deliveries received at the management office.
  • Assists with the administration of day-to-day shopping center operations including monitoring contractor requests for access to common areas and management staff members.
  • Performs general administrative duties including providing assistance to other departments as approved by the General Manager.
  • Maintains shopping center management files, including confidential records.
  • Assists with preparation of materials as required for corporate projects (i.e., budgets, quarterly/annual reports, etc.)
  • Performs Certificates of Insurance COI reviews and communicates directly with contractors, vendors, tenants, and Risk Management as needed.
  • Processes Opening Notices and Closing Notices. Forwards to General Manager on a timely basis.
  • Reconciles PCard purchases on a monthly basis. This includes Office Manager, Operations Manager cards and the filing of invoices.
  • Circulates Customer Feedback submissions to the General Manager and department heads as appropriate.
  • Maintain approved Driver’s list and related repair/maintenance invoices. Collect gas receipts monthly from Security and Maintenance. Ensure they are within the limits and signed. Add and delete Drivers and Driver gas pins for Security and Maintenance.

Qualifications
  • Minimum 5 years relevant experience, preferable in a real estate/shopping center environment demonstrative effective clerical skill.
  • Minimum High School Diploma required.
  • Strong computer skills with demonstrated proficiency in Microsoft Word, Outlook, Power Point and Excel required; aptitude and willingness to learn other computer programs as requested by General Manager.
  • Strong interpersonal skills. Shows a genuine interest in demonstrating an ability to work effectively with diverse audiences.
  • Attention to detail and strong work ethic. Commitment to striving for error free work products.
  • Available to work flexible hours when necessary (special project deadlines).
  • Ability to multi-task, prioritize workflow, and perform well consistently in a busy work environment.
  • Ability to communicate effectively, both orally and in writing, with all levels of management, as well as staff, tenant representatives, public safety personnel and the general public.
