Law Firm Facilities Operations Manager
Location: Houston, TX
Salary Range: $120,000 - $130,000 annually
Schedule: Full-Time | Onsite | Monday-Friday

Position Summary
A growing professional services organization is seeking an experienced Facilities Operations Manager to oversee workplace operations, vendor management, office services, and facility-related projects. This role is responsible for maintaining a highly efficient, safe, and professional office environment while managing key operational functions, budgets, and service providers.
The ideal candidate combines strong facilities management expertise with a hands-on, service-oriented approach and has experience supporting a fast-paced professional office environment.
Key Responsibilities
Facilities & Workplace Operations
  • Oversee the daily operation and maintenance of office facilities and common areas.
  • Manage preventative maintenance programs and coordinate repairs with internal stakeholders and external vendors.
  • Monitor office furniture, fixtures, equipment, and workplace assets to ensure functionality and appearance standards are maintained.
  • Support workplace planning initiatives, office configurations, and space utilization projects.

Vendor & Property Management
  • Serve as the primary contact for landlords, building management teams, contractors, and service providers.
  • Source, evaluate, and negotiate vendor agreements and service contracts.
  • Monitor vendor performance, service quality, and contract compliance.
  • Coordinate services including janitorial, maintenance, security, landscaping, storage, and other facility-related functions.

Safety, Security & Business Continuity
  • Maintain workplace safety programs and ensure compliance with applicable regulations and building standards.
  • Manage building access systems, credentials, and physical security processes in partnership with technology teams.
  • Coordinate emergency preparedness plans, response procedures, and business continuity initiatives.
  • Oversee first aid supplies, workplace safety equipment, and employee emergency resources.

Budgeting & Procurement
  • Assist with development and management of facility and operating budgets.
  • Track expenditures, review invoices, and identify cost-saving opportunities.
  • Manage procurement of office supplies, furniture, equipment, and workplace resources.
  • Maintain accurate inventories and asset records.

Meetings, Events & Hospitality Services
  • Coordinate conference rooms, meeting spaces, and office event logistics.
  • Oversee room setup, catering arrangements, hospitality services, and vendor coordination.
  • Support special projects, client meetings, training sessions, and corporate events.

Office Growth & Facility Projects
  • Participate in office expansion, relocation, renovation, and workplace improvement initiatives.
  • Coordinate project schedules with contractors, architects, designers, and building management teams.
  • Support new office openings, workplace transitions, and space optimization projects.

Employee Support Services
  • Coordinate workspace setup and logistical support for new hires.
  • Manage office moves, workstation changes, and workplace transitions.
  • Assist with employee offboarding activities related to facility access and office assets.

Administrative & Operational Services
  • Oversee mail distribution, shipping, courier services, and records storage vendors.
  • Manage company travel vendor relationships and preferred supplier programs.
  • Monitor subscription services, operational resources, and administrative support programs.

Qualifications
Required
  • 5+ years of facilities or office services in a Legal Office environment
  • Experience managing vendor relationships, facility contracts, and workplace operations.
  • Demonstrated success overseeing office budgets, procurement, and operational projects.
  • Strong knowledge of workplace safety, building operations, and facilities best practices.

Preferred
  • Bachelor's degree in Business Administration, Facilities Management, Operations, or a related field.
  • Experience supporting multi-functional office environments or professional services organizations.
