Job description

About the Position

The Operations Manager plays a key role in ensuring SAILโ€™s facilities, vehicles, and equipment operate safely, efficiently, and reliably in support of staff and programs across Southeast Alaska. This position coordinates maintenance and vendor relationships for SAIL locations, manages vehicle and equipment inventory and grant spending, and assists in developing systems that strengthen operational effectiveness. The role requires strong organization, problem-solving skills, and a relationship-centered approach to working with staff, tenants, contractors, and community partners.

Facility & Building Management (20%)
  • Serve as the primary liaison with landlords, property managers, contractors and vendors forSAIL offices (i.e. Angoon, Haines, Juneau, Ketchikan, Sitka, Prince of Wales)
  • Assist with the Deferred Maintenance Grant application
  • Manage the Deferred Maintenance Grant spending for the organization
  • Work with local Program Directors to schedule routine building maintenance and track routine facility needs (i.e., oil delivery, boiler servicing, gutter cleaning, etc.)
  • Assist with researching and implementing a system for tracking building maintenance request and capital projects
Vehicle Management (20%)
  • Assist in developing a system to track vehicle maintenance schedules and service records
  • Oversee maintenance schedules to ensure vehicles meet or exceed manufacturers recommendations
  • Coordinate vehicle procurement, reimbursement and disposal of SAIL vehicles
  • Work with local Program Directors to plan ahead for vehicle replacement
  • Assist with the Alaska Department of Transportation & Public Facilities (ADOT&PF) grants for new vehicles and work to secure 20% match
  • Serve as the ADOT&PF inventory system (BlackCat) point person and accurately maintain vehicle inventory in the system
  • Serve as the primary liaison with taxi vendors for reporting, vehicle maintenance, and invoicing
Equipment & Asset Management (20%)
  • Assist with the Essential Equipment Grant application
  • Manage the Essential Equipment grant spending for the organization
  • Process equipment requests to ensure staff have access to functional equipment to support their roles
  • Coordinate repairs, replacements, and disposal of equipment as needed
  • Maintain technology and equipment inventory system
  • Serve as the primary liaison with Tech Ops onboarding and offboarding related to equipment and technology access
  • Serve as the point of contact for our phone system(s), Nextiva & AT&T
Internal Operations (15%)
  • Assist with identifying and implementing operational improvements
  • Create Standardized Operating Procedures for facilities, vehicles and equipment
Administrative and Other (5%)
  • Other duties
