About the Role:
Criminal Defense Client Intake Coordinator
Sand Law, PLLC | Full-Time | In Person | St. Paul, Minnesota

DESCRIPTION
Sand Law, PLLC is seeking a Criminal Defense Client Intake Coordinator for its St. Paul, Minnesota office. This is a criminal defense-heavy role focused on retaining new potential clients, guiding people through difficult moments, and helping them take the next step with confidence. The position is ideal for someone who is empathetic, composed under pressure, highly organized, and able to handle a high volume of calls, texts, emails, and online inquiries in a fast-paced law firm environment. 

The Intake Coordinator will often be the first voice a potential client hears. That means the right candidate must be able to communicate calmly and clearly with people who may be stressed, emotional, scared, embarrassed, or facing traumatic circumstances. This role requires strong attention to detail, comfort with written agreements and follow-through, and the ability to learn and use online court systems and law firm technology in both Minnesota and North Dakota. 

Sand Law is a fast-growing law firm with a strong criminal defense presence in Minnesota and North Dakota. This is an exciting opportunity for someone who wants to join a growing team, build valuable legal intake skills, and play a meaningful role in helping new clients get the representation they need.

DUTIES:

  • Present clear, compelling service information to prospective clients to drive retention.
  • Serve as primary contact via phone, text, email, and web inquiries.
  • Communicate professionally with individuals facing sensitive legal situations.
  • Manage high-volume inbound inquiries with urgency and organization.
  • Gather accurate information, identify next steps, and support attorneys/staff.
  • Prepare and manage intake documents, contracts, and reports with attention to detail.
  • Open cases, generate contracts, and ensure timely client follow-up.
  • Maintain accurate, confidential records in firm systems.
  • Collaborate with attorneys and staff for smooth client onboarding and handoff.
  • Conduct consistent follow-up to improve conversion and retention.
  • Utilize systems such as RingCentral, Clio Manage, and Clio Grow (training provided).
REQUIREMENTS:

  • Ability to thrive in a fast-paced environment.
  • Professional, compassionate, and patient demeanor.
  • Strong communication, phone, sales, and computer skills.
  • Detail-oriented with strong organizational and time-management abilities.
  • Problem-solving mindset and adaptability.
  • CRM experience preferred but not required.
  • 1–2 years in legal, intake, sales, or customer-facing roles preferred.
EXPERIENCE:

  • Sales experience preferred.
  • Experience managing high call/email volume.
  • Strong written and verbal English skills.
  • CRM familiarity is a plus.
  • Law student or legal experience is a plus.

A three-week mandatory training will be required at the Firm's St. Paul, Minnesota office.
Physical Requirements:

  • Ability to sit for extended periods of time.
  • Ability to stand and walk for prolonged periods, as needed.
  • Lift and carry up to 10 pounds occasionally.
  • Bend, stoop, reach, and grasp objects as necessary.
