Administrative Operations Coordinator

Sunroof Express is in search of a detail-oriented, full-time Administrative Operations Coordinator to be the operational backbone of our growing team in Troy, Michigan!

The heart of this role is data integrity and cross-system maintenance: you’ll own the daily upkeep of our systems, prepare the recurring reports leadership relies on, and keep follow-through tight across vendors, partners, and internal projects. Your work will be seen across the leadership team, and you’ll touch nearly every part of the business through the systems and reporting you maintain. Schedule:

  • Monday – Friday
  • 8 AM – 5 PM
  • In office with occasional hybrid flexibility
  • Full time – 40 hours

The right candidate will have:

  • 2+ years in administrative or operations coordination roles
  • Strong Excel skills, including formulas, pivot tables, and data formatting
  • Experience supporting financial reporting or working with financial data
  • Proficiency with CRM platforms and scheduling tools
  • Strong attention to detail and reliable follow-through
  • Clear, professional communication, both written and on the phone
  • Familiarity with social media and email marketing tools a plus

Our Administrative Operations Coordinator will:

  • Maintain and reconcile records daily across systems
  • Prepare recurring reports, and data exports for leadership
  • Clean up records, standardize naming conventions, and resolve duplicates
  • Track renewals, subscriptions, and compliance documentation
  • Own process documentation, SOPs, and shared templates
  • Update parts information on website
  • Coordinate calendars, meetings, and travel for leadership
  • Prepare agendas, capture meeting notes, and track action items
  • Format presentations, meeting packets, and executive materials
  • Conduct research and support special projects as needed
  • Maintain content calendar and post approved content across social channels
  • Monitor reviews and inquiries; route follow-up to the right person
  • Support Active Campaign sends, distribution lists, and engagement tracking
  • Help keep internal and external communications on brand
  • Serve as central point of contact for administrative follow-through
  • Collect vendor documents (W-9s, certificates, insurance) and track deadlines
  • Provide routine follow-up by phone and email to keep communication moving and close loops
  • Maintain company directory and org chart
  • Coordinate employee announcements, milestones, and recognition
  • Support company events, surveys, and feedback collection
