Job Purpose
The TEFAP Specialist is responsible for coordinating the administrative functions that support The Emergency Food Assistance Program (TEFAP) and related partner agency operations. Working under the direction of the Programs Manager, this position ensures accurate reporting, regulatory compliance, program documentation, and partner support while serving as a key resource for participating agencies. The TEFAP Specialist works collaboratively with internal staff and external partners to maintain efficient program operations, provide technical assistance, and ensure compliance with federal, state, and organizational requirements that support equitable food distribution throughout the Food Bank's service area.

Required Education & Experience
• High school diploma or equivalent required.
• Two (2) years of experience in program administration, data entry, customer service, community services, nonprofit operations, or a related field.
• Experience maintaining accurate records and completing data entry and reporting requirements.
• Experience working with multiple priorities and meeting established deadlines.
• Experience providing customer service or technical assistance to internal or external customers, partners, or community members.
• Ability to learn and apply program regulations, policies, and procedures.
Preferred Skills & Experience
• Experience working with USDA, TEFAP, food distribution, food banking, or other federally funded programs.
• Experience with compliance monitoring, partner reporting, or grant-related documentation.
• Experience working with databases, inventory systems, or program management software.
• Experience with Ceres, Oasis Insights, MealConnect, Microsoft Excel, or similar systems.
• Knowledge of food safety and civil rights requirements applicable to food assistance programs.
• Experience working with community-based organizations or nonprofit partners.
Essential Duties (including but not limited to):
Program Coordination & Administration
• Coordinate administrative functions supporting TEFAP and partner agency operations under the direction of the Programs Manager.
• Ensure all required monthly partner reports are received and submitted accurately and on time.
• Create and maintain agency orders (menu) within Ceres and assist with inventory-related administrative functions as needed.
Compliance & Reporting
• Ensure compliance with all USDA, Nevada Department of Agriculture, and Food Bank policies, procedures, and regulations.
• Maintain accurate program records and data entry to support reporting, grant requirements, and program performance.
• Conduct partner monitoring visits and document compliance findings as assigned.
Partner Support & Training
• Maintain regular communication with TEFAP partners through regular communication and quarterly meetings.
• Provide technical assistance to partner agencies regarding reporting requirements and program participation.
• Coordinate and facilitate regular food safety and civil rights trainings and other required partner education.
Other Duties
• Perform other duties as assigned.
Supervisory Responsibility
This position does not have supervisory responsibilities.
Travel
Travel within the FBNN service area may be required daily. A Food Bank vehicle may be provided, but a clean driving record is required.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4:30 p.m.
Occasional after-hours or weekend work possible.
Work Environment/Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing this job, the employee must use their hands to operate a computer for a significant portion of the day. The work environment is variable and dependent on each distribution site.
• Ability to lift and carry 50 lbs.
• Ability to stand for extended periods of time.
• Ability to manage distributions outside, regardless of weather.
• Ability to sit for long periods of time entering data.
• Willing to travel within FBNN service area. (Distribution sites may include partner agencies, pantries, schools, events, health fairs, etc. in which most are outdoor locations.)
