TAIT is looking for experienced Freelance Event Guest Communications Managers (U.S.-based) to support a major project taking place on-site in Washington, DC from mid August to late October 2026, with remote work beginning June 2026. Travel and accommodations will be provided for on site time.
This is a temporary contract role, not a full-time staff position.
Position Purpose:
The Freelance Guest Communications Manager is responsible for all guest-facing communications for the event, ensuring clear, consistent, and timely messaging across pre-arrival, on-site, and post-visit touchpoints. Reporting to the Guest Services Producer, this role aligns communications with operational plans and supports real-time updates during live event days.
Responsibilities:
  • Develop and manage end-to-end guest communication strategy
  • Write and approve all guest-facing messaging (email, SMS, FAQs, web
  • Coordinate messaging with ticketing, operations, and Guest Services teams
  • Manage real-time guest alerts and operational updates during live days
  • Ensure consistent tone, clarity, and brand alignment across all channels
  • Create standard templates for key guest scenarios (delays, entry, accessibility)
  • Oversee automated messaging triggers with ticketing platforms
  • Maintain and update guest FAQ and information hub
  • Support crisis communications and incident-related messaging
  • Monitor guest feedback to identify communication gaps
  • Coordinate signage and digital wayfinding content with ops teams
  • Ensure accessibility compliance across all communications
  • Prepare daily comms briefs for live operations teams
  • Track and improve communication performance post-event
  • This role in particular does have fluidity to it and may vary based on project needs.

Position Requirements:
  • 3+ years of event management, production, or related experience; Bachelor's degree preferred.
  • Exceptional verbal and written communication skills.
  • Strong project management and budget management abilities.
  • Highly organized with a detail-driven, proactive approach.
  • Proficient with Microsoft Office, Google Workspace, Airtable, and similar tools.
  • Positive, solutions-oriented attitude with the ability to work under pressure.
  • Flexibility to work nights, weekends, and irregular hours based on event needs.
  • Ability to work independently while collaborating closely with cross-functional teams.
  • Professionalism, discretion, and tact when handling sensitive information.
