Administrative Assistant for Arts & Sciences Division
Job Description
This full-time 12-month position reports to the Dean of Arts & Sciences (A&S) and fulfills the primary role of administrative support for the division. The position is responsible for general office support for the A&S Division and faculty, as well as the performance of specific administrative duties, exercising a strong work ethic, a personable demeanor, and good judgment. The administrative assistant provides quality customer service to anyone entering the A&S Division, including students, faculty, staff, and the public.

Essential Duties Summary
Duties include:
  1. Receive incoming calls, guests, and inquiries with friendly customer service.
  2. Coordinate daily office operations and maintain a professional office environment.
  3. Provide general office support for the dean, chairs, and faculty (full-time and part-time/adjunct) within the division.
  4. Oversee working conditions of office equipment
  5. Conduct inventory of departmental equipment.
  6. Monitor, order, and maintain office supplies for the division.
  7. Research cost and vendor options and develop purchase requisitions.
  8. Process travel requests and reimbursement forms.
  9. Submit paperwork to the business office in a timely manner and assist the dean in budget reporting.
  10. Develop adjunct faculty contracts.
  11. Develop instructor schedules to be posted each semester and filed in the VP of Instruction's office.
  12. Create and maintain documents and systems that streamline semester schedules within the division.
  13. Coordinate completion of textbook order to ensure timely submission.
  14. Collect and store course syllabi.
  15. Assist faculty with census and final grade rosters.
  16. Monitor attendance report and ensure timely submission of attendance records.
  17. Support special events hosted by the division.
  18. Committed to the college's mission, vision, and core values.
  19. Participate in professional development opportunities, both internally and externally.
  20. Serve on college committees and task forces, as assigned.
  21. Understand the mission of the NC Community College System.
  22. Other duties as assigned by supervisor.

Required Qualifications
  • High school diploma or GED
  • Demonstrated proficiency with Microsoft Office Suite,
  • Strong customer service skills,
  • Ability to manage multiple projects, organizational and time management skills,
  • Ability to work within a team, and
  • Ability to communicate with all levels of employees and students.

  • Associates Degree preferred

Physical Demands
Work is performed primarily in a professional office environment with standard climate controls. The position requires prolonged periods of sitting and extensive computer use while entering, reviewing, and maintaining electronic records. Frequent interaction with students, faculty, staff, and the public is required. Occasional evening and weekend work, as well as limited travel between College campuses or off-site instructional locations, may be necessary to support departmental operations and special events.
Essential functions of this position require effective communication, organizational skills, manual dexterity, attention to detail, and the ability to operate standard office equipment.
Light to Medium work: Exerting up to 20 pounds of force occasionally and up to 10 pounds of force frequently to lift, carry, push, pull, or otherwise move objects. Duties include prolonged sitting, frequent keyboarding, standing, walking, bending, reaching, stooping, lifting office supplies and instructional materials, and occasional travel between College locations.
Mental Application and Reasoning Ability: Requires the ability to maintain accuracy while working with detailed records and multiple deadlines. Must exercise sound judgment, critical thinking, discretion, and problem-solving skills while maintaining confidentiality of student and employee information. The position requires excellent organizational skills, adaptability to changing priorities, attention to detail, effective verbal and written communication, and the ability to analyze information, coordinate multiple projects simultaneously, and work collaboratively with diverse populations.

Salary Range: $31,200 to $42,000 (12 months) based on education and experience in accordance with the college salary plan.
