The Event Marketing Coordinator is responsible for coordinating all aspects of marketing events, both at the corporate office and within the venues, from concept development through execution. Responsibilities include, but are not limited to, marketing presentations, production schedules, performer scheduling, decor build-outs, staff uniforms, promotional giveaways, specialty acts, dancers, costumes, and related event elements.

ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO:

  • Conceptualize, plan, and execute layered, themed, sponsored, and promotional events designed to attract local and targeted demographics 
  • Execute purchasing, branding initiatives, and sponsorship fulfillment 
  • Coordinate and execute partnership, sponsorship, and beverage activations within the venues 
  • Serve as the primary onsite contact for internal departments and external vendors during event and activation execution, including decor load-ins, builds, strikes, and load-outs as needed 
  • Hire and manage outsourced production crews and vendors for marketing events as required 
  • Obtain and evaluate pricing for event assets, including promotional items, uniforms, vendors, labor, and services 
  • Secure, transport, and organize costumes, props, swag, and decor for marketing events, photo and video shoots, sponsorship activations, beverage activations, and other marketing initiatives 
  • Track event production budgets and resource allocation 
  • Submit event-related invoices in a timely manner for processing and payment 
  • Create and maintain documentation required for event marketing functions, including purchase orders, inventory sheets, mood boards, sponsorship decks, proposals, and production schedules 
  • Maintain inventory and organization of all event marketing assets within the company warehouse 
  • Manage graphic design requests for event marketing related projects through the Asana project management system 
  • Update Event Operational Notes (EONs) weekly with relevant information regarding upcoming marketing events and initiatives, and participate in scheduled cross-departmental meetings and calls
  • Assist and/ or complete additional tasks as assigned.


EDUCATION/WORKING KNOWLEDGE:

  • Minimum of one to two (1 -2) years of relevant hospitality and event execution experience preferred but not required
  • College degree preferred; high school diploma required.
  • Hospitality and/or industry experience preferred.
  • Proof of eligibility to work in the United States.
  • 21+ years of age.
  • Maintain a professional, neat, and well-groomed appearance adhering to Company standards.
  • Proficient in Windows Microsoft Office and Canva preferred.
  • Proven working experience with social media platforms such as Instagram, Facebook, Twitter, Tik Tok, Threads, etc.
  • Demonstrable social networking experience preferred
  • Excellent copywriting, editing (photo/video/text), presentation, and communication skills
  • Positive attitude, detail-oriented with good multitasking and organizational ability
  • Demonstrates a keen aptitude for accepting and integrating constructive criticism and feedback effectively.
