JOB TITLE: Customer Service Associate

PLANT: Fort Wayne

REPORTS TO:  Customer Service Lead/ FW  Materials Manager 

DEPT: Customer Service 

Shift: Monday-Friday full time 40 hours a week. Onsite role. 


DESCRIPTION: 

We are seeking an accurate and detail-oriented Customer Service Data Entry Specialist. In this role, you will be the backbone of our database, ensuring customer records are up-to-date while providing friendly, efficient support to client inquiries. The ideal candidate possesses a quick and accurate typing speed, exceptional problem-solving skills, and a commitment to data confidentiality. 

Key Responsibilities

  • Data Management: Input, update, and maintain customer account information and records in company software and databases.
  • Customer Support: Respond promptly to customer inquiries, complaints, and requests via phone, email, and live chat while maintaining a high level of      customer satisfaction.
  • Data Verification: Review data for accuracy, correct discrepancies, and cross-reference information against source documents before finalizing entries.
  • Order & Request Processing: Process Purchase Orders, Purchase Releases, Trial Orders, and all other customer order-related documentation.
  • File Organization: Scan, organize, and maintain physical and digital source documents in compliance with data privacy policies.
  • Customer Communication: Act as the primary point of contact to support and assist with all customer inquiries and concerns.
  • Logistics Coordination: Coordinate with the Plant's logistics team to ensure accurate ship dates, including handling expedites, cancellations, and open-order status reports to keep customers informed of their order status.
  • Document Management: Maintain all relevant correspondence, including emails,      Purchase Orders, reports, and other documentation, in accordance with departmental electronic filing and ISO/compliance requirements.
  • Sales & Manufacturing Liaison: Serve as a liaison between the Sales and Manufacturing teams as required.
  • Customer Visits: Prepare conference rooms and coordinate lunches for customers as requested by the Commercial Sales team.
  • Order Entry: Enter sales orders received through email, EDI, and customer portals accurately and in a timely manner.
  • ERP System Management: Maintain all required ERP system parameters, files, and entry activity associated with order management.

Requirements

 Qualifications & Skills

  • Experience: 1-3 years of experience in data entry, clerical administration, or      customer support. Manufacturing experience is a plus but not required.
  • Typing Speed: Proficient in touch typing with a high level of accuracy, typically 45+ WPM.
  • Software Skills: Intermediate proficiency in Microsoft Office Suite, including Word and Excel.
  • Attention to Detail: Demonstrated ability to identify errors, maintain accuracy, and ensure data integrity.
  • Communication: Strong verbal and written communication skills, with the ability to multitask effectively and consistently follow up with customers.
