Job description

Fleet Coordinator / Project Coordinator

Location: Madison, WI

Position Overview

The Fleet Coordinator supports day-to-day fleet operations by maintaining vehicle records, coordinating maintenance activities, supporting drivers, ensuring compliance requirements are met, and providing administrative support to fleet operations.

Key ResponsibilitiesFleet Administration
  • Maintain vehicle registrations, insurance records, titles, and maintenance histories
  • Update fleet management systems and vehicle assignments
  • Track fleet inventories and associated documentation
  • Process fleet-related paperwork and maintain organized records
Driver & Stakeholder Support
  • Serve as the primary contact for vehicle-related questions and support
  • Coordinate with drivers, vendors, maintenance providers, and internal stakeholders
  • Assist with roadside assistance, vehicle recovery, and replacement vehicle arrangements
  • Support accident reporting and follow-up activities
  • Communicate maintenance schedules, repair status, and vehicle availability
Compliance Support
  • Monitor vehicle registrations, permits, inspections, and licensing requirements
  • Maintain compliance documentation and escalate concerns when needed
  • Support fleet safety initiatives and recordkeeping
Data Management & Reporting
  • Maintain fleet data and reporting systems
  • Track vehicle utilization, mileage, fuel usage, and maintenance costs
  • Conduct audits to ensure data accuracy and completeness
Maintenance Coordination
  • Schedule routine vehicle maintenance and inspections
  • Coordinate repair appointments and vendor services
  • Track downtime and communicate status updates
Continuous Improvement
  • Support fleet initiatives, audits, and special projects
  • Assist with process improvements and operational enhancements
  • Provide administrative support for departmental projects

Job Type & Location

This is a Contract position based out of Madison, WI.

Pay and Benefits

The pay range for this position is $19.00 - $21.00/hr.
