Job Summary

The Front Desk / Patient Services Representative is the first point of contact for patients, ensuring a welcoming, efficient, and well-organized check-in and check-out experience while managing the administrative and clerical functions that support daily clinic operations.

Essential Duties & Responsibilities
  • Greet and check in/check out patients in a courteous, professional, and timely manner
  • Verify and update patient demographic and insurance information
  • Collect co-pays, deductibles, and outstanding balances at time of service
  • Schedule, reschedule, and confirm patient appointments
  • Answer a multi-line phone system; route calls and messages appropriately
  • Verify insurance eligibility and benefits prior to visits
  • Scan, file, and maintain accurate patient records in compliance with HIPAA
  • Manage waiting room flow and communicate wait times to patients
  • Process referrals, work notes, and other patient documentation requests
  • Maintain a clean and organized front office and lobby area
  • Support clinical staff and management with administrative tasks as needed
Qualifications

Education & Certification

  • High school diploma or equivalent required
  • Prior medical office, front desk, or customer service experience preferred

Experience

  • 1+ years front desk/receptionist experience, preferably in a healthcare setting
  • Experience with EMR/practice management systems and insurance verification preferred
Knowledge, Skills & Abilities
  • Excellent customer service, interpersonal, and phone etiquette skills
  • Strong organizational skills and attention to detail
  • Ability to multitask in a fast-paced, high-volume environment
  • Basic knowledge of medical terminology and insurance processes preferred
