POSITION SUMMARY

The Front Desk Receptionist serves as the first point of contact for all patients, visitors, and callers at Hope Neurological Medical Services and its affiliates. This role is critical to delivering the warm, organized, and professional experience that reflects HOPE's mission and values from the very first interaction. The Front Desk Receptionist is responsible for managing the front office environment, coordinating patient flow, handling administrative duties, and supporting the clinical team in delivering seamless patient-centered care.

This position requires an individual who is detail-oriented, compassionate, and able to manage a high-volume front office environment with professionalism and grace. The ideal candidate understands that every patient who walks through our doors is on a journey toward healing and deserves to be met with dignity, efficiency, and warmth.


KEY RESPONSIBILITIES

Patient Interaction & Front Office Management

  • Greet and check in all patients, visitors, and guests in a professional and welcoming manner
  • Verify patient demographics, insurance information, and referral documentation at each visit
  • Collect co-pays, patient balances, and process payments accurately at the time of service
  • Manage patient check-out process, including scheduling follow-up appointments and providing after-visit instructions as directed
  • Maintain a clean, organized, professional front office and waiting area
  • Schedule new and established patient appointments across all relevant providers and service lines
  • Confirm and remind patients of upcoming appointments via phone, portal, or text as directed
  • Coordinate scheduling changes, cancellations, and urgent add-on appointments with clinical staff
  • Manage multi-line phone system, directing calls promptly and professionally to appropriate team members

Administration & Compliance

  • Accurately enter and update patient information in the Electronic Health Record (EHR) system
  • Obtain and verify insurance authorizations and referrals as required prior to patient visits
  • Always maintain strict patient confidentiality in compliance with HIPAA regulations
  • Assist with scanning, filing, faxing, and maintaining organized patient records
  • Support billing department with front-end charge capture and insurance verification processes

Team Collaboration

  • Communicate effectively with medical assistants, clinical staff, and leadership to support patient flow
  • Participate in morning huddles and team meetings as required
  • Uphold HOPE's values, culture, and service standards in every patient and team interaction
  • Crosstrain in additional front office functions and support other locations as needed

QUALIFICATIONS & REQUIREMENTS

Education & Experience

  • High school diploma or equivalent required; associate degree or medical office certification preferred
  • Minimum 1–2 years of front desk, medical receptionist, or customer-facing administrative experience required
  • Experience in a medical, neurological, or specialty healthcare setting strongly preferred
  • Familiarity with insurance verification, co-pay collection, and EHR systems required
