Every sign, destination marker, and visual cue shapes how patients, families, and staff experience Stanford Health Care. As the Senior Project Manager, Wayfinding & Signage, you will help create seamless navigation experiences across one of the nation's leading healthcare systems while influencing how people move through and interact with our spaces.
In this newly created role, you will lead enterprise signage and wayfinding projects from planning and design through installation, governance, and stakeholder approval. Partnering with project teams, vendors, and cross-functional leaders, you will ensure signage standards, branding requirements, budgets, schedules, and implementation strategies align across capital and operational projects. Based in Palo Alto with a hybrid schedule, this position offers broad exposure to healthcare environments throughout Stanford Health Care's portfolio and a pathway toward future leadership opportunities. Success in this role is enhanced by:

• Project management experience leading signage or wayfinding initiatives through the full project lifecycle

• Strong communication, vendor management, and relationship-building skills

The Facilities Planning & Design (FPD) business unit leads the planning, design, and improvement of Stanford Health Care's spaces to advance excellence in care, innovation, and experience. The Wayfinding & Signage team leads enterprise-wide efforts to ensure regulatory signage compliance, enforce and uphold Stanford Medicine brand standards, and manage the Stanford Health Care Signage Guidelines. They oversee seasonal and temporary signage requirements and provide strategic guidance to maintain consistency across all environments. Through cross-entity collaboration, they lead enterprise-wide initiatives delivering both capital and operational projects, develop and maintain signage standards.

A Brief Overview
The Senior Project Manager is responsible for managing the initiation, planning, execution, monitoring, and closing of various Facilities Services projects . Ensures the completion of projects within budget, on schedule, and meets all program objectives and appropriate government regulations. Acts as a liaison between the client/users and all other project participants including consultants, contractors, vendors, and outside jurisdictional agencies. Responsible for planning, scheduling, assigning, and overseeing the work of project participants and assigned project coordinators or project engineers.

What you will do

• Leadership
• Conduct project intake, develop project teams, define objectives and scope, document current and future-state processes, develop and maintain project schedule, document risks and assumptions, and oversee development, operational workflows and implementation.
• Provide leadership and direction in building client engagement, project development, strategic decision-making, project scope and deliverables.
• Collaborate with and provide recommendations to management related to internal and external policies, departmental procedures, , strategic planning, and/or resource planning.
• Provide project leadership for large strategic and cross-functional improvement programs for executive stakeholder, department, and project team members by defining strategic intent of programs and overseeing deliverable development to ensure project goals are met.
• Manage project design and structure for department's key endeavors and projects within assigned leadership division, develop strategic input management regarding business objectives of clients for both current and future projects.
• Partners with project managers, project engineers, and/or program/project coordinators in the design, development, and execution of projects.
• Mentor other project managers, project engineers, and/or program/project coordinators
• Relationship Management
• Develop and maintain effective relationships with project owners, operational leaders, business services, IT, vendors, and other project stakeholders.
• Balance both internal and external stakeholder interests to maintain alignment of the project outcomes.
• Understand customer requirements and manage the dynamics of these individuals.
• Project Management & Financial Acumen
• Responsible for the coordination and completion of projects. Oversee all aspects of projects. Track milestones, deadlines, assign responsibilities, and report progress of projects.
• Deliver concurrent various sized projects to successful completion.
• Follow standard work/processes, policies and processes, develops detailed project plans and completes required project documentation.
• Define project scope, duration, resources and cost, as well as the best course of action/approach to attain the project objectives.
• Conduct project kick-off meetings, communicate individual roles and project expectations, and in conjunction with the project/senior project coordinator serve as the initial point of contact for projects.
• Complete and manage detailed project work plans using the designated project management tool, utilize tools to report project status, manage issues, identify risks, and escalations.
• Coordinate post-project review and lessons learned meetings following stabilization of projects.
• Manage communications on a regular and timely basis, ensuring that all project participants are informed of project status, issues, risks, escalations, and required actions. Prepare and deliver executive-level presentations.
• Prepare and maintain accurate, timely, and auditable project documents, and cost estimates with department procedures.
• Prepare and manage project reports and budgets for senior leadership regarding status of projects.
• Provide input for tracking project budget targets (overall) and stay current on status
• Maintain working knowledge of foundational activities (i.e. facilities, patient care services, IT, business services, patient experience, operational efficiency, supply chain, engineering & maintenance, etc.)
• Standards, Guidelines & Technical
• Incorporate Lean practices to effectively manage stakeholder and operational leader expectations.
• Assist in the development of policies, guidelines, standards, and acts as department representative on committees and professional organizations.
• Implement quality control measures to ensure project compliance with department, hospital, and university policies, government codes and regulations; ensure conformance to the requirements of all project participants. (regulatory, OSHPD, Joint Commission, etc.)
• Understand the building maintenance systems (BMS) and/or building infrastructure.
• Conduct project planning workshops to create project charter, lock scope, identify project deliverables, create project schedule and identify critical paths.

Education Qualifications

• Bachelor's degree in a work-related discipline/field from an accredited college or university

Experience Qualifications

• Seven (7) years of progressively responsible and directly related work experience. Relevant experience in lieu of degree may be considered. Relevant experience in lieu of degree is in addition to the experience requirements for this position.

• Strong knowledge of medical and non-medical equipment, organizational programs and procedures.
• Basic experience with business case preparation and cost benefit analysis.
• Expertise in MS Office Suite (Excel, Word, PowerPoint and Visio) and Microsoft SharePoint.
• Moderate proficiency with Microsoft Project, Primavera and another PPM software tool.
• Demonstrated track record of establishing priorities and meeting deadlines.
• Demonstrated highly motivated self-starter.
• Strong interpersonal, presentation and facilitation skills to communicate with and persuade a wide range of audiences.
• Superior supervisory and matrix management skills and ability to oversee tasks delegated to others.
• Advanced ability to identify, develop and quantify any required corrective action plans.
• Manage a significant workload, prioritize projects appropriately and work independently.

Licenses and Certifications

• Lean Six Sigma Certification preferred .
• PMP - Project Mgmt Professional preferred .

Base Pay Scale: Generally starting at $70.52 - $93.43 per hour
The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to, internal equity, experience, education, specialty and training. This pay scale is not a promise of a particular wage.
