Front Office Administrator

Location: The Sante Center for Natural Healing – Hampton, NH
Job Type: Full-Time

About Us:
At the Sante Center for Natural Healing we combine scientifically proven functional medicine with innovative natural therapies to create personalized treatment plans for our patients.

Position Overview:
We are seeking an organized, personable, and highly capable Front Office Administrator to run the front end of our clinic. This role is the first point of contact for our patients and sets the tone for their entire experience with us. The ideal candidate has strong administrative experience, excellent customer service instincts, and confident scheduling skills, and can keep a busy front desk running smoothly while making every patient feel welcomed and cared for.

Key Responsibilities:

  • Greet and check in patients with a warm, professional, and welcoming demeanor.
  • Manage the appointment schedule, including bookings, rescheduling, and cancellations, to keep the day running efficiently for patients and practitioners.
  • Answer phones, respond to emails, and handle patient inquiries in a timely and courteous manner.
  • Collect and process patient intake paperwork, insurance information, and payments.
  • Maintain accurate patient records and ensure confidentiality in accordance with clinic policies.
  • Coordinate communication between patients and practitioners to ensure a seamless flow of care.
  • Keep the front office and waiting area organized, clean, and presentable.
  • Manage office supplies and place orders as needed.
  • Support the team with general administrative tasks, including filing, data entry, and correspondence.
  • Follow all company policies and procedures, including professional and legal regulations.
  • Maintain positive relationships and a professional attitude with patients and fellow team members.

Qualifications:

  • Proven administrative experience, ideally in a medical, wellness, or healthcare setting.
  • Excellent customer service skills with a friendly, patient-first attitude.
  • Strong scheduling experience and the ability to manage a busy, multi-practitioner calendar.
  • Excellent verbal and written communication skills.
  • Highly organized with strong attention to detail and the ability to multitask.
  • Comfortable with computers, scheduling software, and office systems.
  • Interest in holistic, integrative, and functional medicine is a plus.
  • Ability to work full-time hours; flexibility for occasional evenings as needed.
