Position Summary
The Senior Operations Administrator serves as a strategic operational partner to the President and executive leadership team. This highly visible role combines executive support, operational coordination, project management, internal communications, and strong administrative skills and leadership to help drive organizational efficiency across a growing portfolio, while also contributing across furious administrative departments such as accounts payable.
This position acts as the organizational "air traffic controller," ensuring priorities remain aligned, projects stay on track, communication flows effectively, and administrative processes support both field and corporate teams. The ideal candidate is highly organized, proactive, technology-savvy, and passionate about supporting people while improving systems and workflows.
Key Responsibilities
Executive & Leadership Support
- Manage field supervisory calendars, appointments, meetings, and travel arrangements.
- Coordinate executive communications, presentations, reports, and correspondence.
- Serve as a liaison between company leadership, regional supervisors, property teams, vendors, and external stakeholders.
- Prepare meeting agendas, executive summaries, reports, and presentation materials.
- Utilize company software and systems to track action items, project deadlines, and strategic initiatives to ensure timely completion.
- Maintain strict confidentiality regarding company, personnel, financial, and operational matters.
Operations Coordination & Process Improvement
- Assist leadership with the development, implementation, and maintenance of operational policies, procedures, and SOPs.
- Coordinate workflow improvements that enhance efficiency, accountability, and consistency across the organization.
- Maintain operational documentation, reporting systems, and administrative processes.
- Monitor company initiatives and ensure follow-through across departments.
- Support implementation of organizational goals and special projects.
- Work closely to implement IPM training and onboarding orientation initiatives with all new IPM employees and their direct supervisor
Project Management & Organizational Planning
- Coordinate cross-functional projects from initiation through completion.
- Develop and maintain project timelines, schedules, milestones, and reporting tools.
- Organize leadership meetings, regional supervisor meetings, company events, and special initiatives.
- Track deliverables and communicate project status updates to leadership.
- Assist with budgeting, expense tracking, vendor coordination, and project documentation.
Internal Communications & Team Engagement
- Draft and distribute weekly and monthly company communications, newsletters, announcements, and organizational updates.
- Help coordinate team-building initiatives, employee recognition programs, and company events.
- Promote communication and collaboration between corporate and site-level team members.
- Support onboarding programs and training initiatives for new employees.
- Reinforce a culture of professionalism, accountability, and teamwork across the organization.
Portfolio & Operational/Administrative Support
- Support regional supervisors and leadership with operational reporting and portfolio initiatives.
- Run and analyze financial and operational reports to assist with monitoring occupancy, delinquency, maintenance, capital project, and staffing reports.
- Coordinate document collection, compliance reporting, and administrative follow-up related to property operations.
- Help facilitate communication between corporate leadership and site teams regarding operational priorities and deadlines.
- Work in payables/accounting dept, including entering and reviewing accounts payables records, reconciling bank statements, troubleshooting all discrepancies and flagging unreconciled entries.
- Record or oversee monthly/quarterly journal entries into software as needed
Technology & Administrative Innovation
- Identify and support opportunities to improve efficiency through technology and AI-powered tools.
- Assist with implementation, training, and adoption of new administrative systems and processes.
- Create templates, workflows, and documentation that streamline recurring tasks.
- Maintain digital records, reporting dashboards, and organizational resources.
- Work in payables/accounting dept as Reconcile bank statements, troubleshooting all discrepancies and flagging unreconciled entries.
Qualifications
- Bachelor's degree required
- 5+ years of experience in executive support, operations administration, office management, project coordination, or a similar leadership-support role.
- Bookkeeping experience required on financial software platforms
- Proven ability to manage multiple priorities and competing deadlines.
- High degree of accuracy and attention to detail
- Exceptional organizational, scheduling, and project management abilities.
- Experience supporting senior executives and leadership teams.
- Strong written and verbal communication skills.
- Understanding of basic bookkeeping and accounting payable principles
- Diverse skill set, ability to manage multiple projects
- Advanced proficiency with calendar/planner software as well as Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams).
- Comfortable learning and implementing new technologies, including AI-enabled productivity tools.
- Ability to work independently while collaborating effectively across departments.
- Strong attention to detail and commitment to follow-through.
Preferred Qualifications
- Experience in multifamily housing, property management, construction, operations, hospitality, or a related industry.
- Familiarity with affordable housing programs, including LIHTC, USDA Rural Development, HUD, or Section 8.
- Experience creating policies, procedures, SOPs, or workflow documentation.
- Experience with project management, reporting, and operational dashboards.
- Knowledge of property management, especially Yardi software, particularly Voyager or Breeze,

Compensation & Benefits
- Base starting at $68,000 annually, with higher compensation available based on experience, qualifications, and demonstrated ability.
