Summary
The Production Operations Coordinator supports Creative Services production operations through resource coordination, workforce planning, scheduling, operational administration, and workflow execution across multiple concurrent projects. This role serves as a key operational partner to Creative Services leadership, helping maintain staffing visibility, production readiness, resource utilization, and workflow consistency across the Creative Services portfolio. By supporting resource planning, coordinating contractor and vendor engagement, administering operational systems and reporting processes, and maintaining workforce planning documentation, this position helps ensure effective project coverage, informed decision-making, exceptional internal support, and successful event delivery.
This position will support our Audio Visual and Event Technology team. It is eligible to work a hybrid schedule, generally requiring work in-office and/or show-site 2-3 days per week. The ideal candidate will be based out of any of the following locations:

  • Orlando, FL

Essential Duties & Responsibilities
Resource Planning, Staffing & Operations
  • Support Creative Services leadership through staffing analysis, resource reporting, workforce planning activities, and administrative coordination related to production operations and resource management.
  • Maintain resource tracking tools, staffing reports, dashboards, operational metrics, and scheduling documentation to support workforce planning, leadership visibility, and decision-making.
  • Coordinate and maintain operational systems and resource management platforms, including SRF, LASSO, Mertz, and other staffing, scheduling, workforce planning, and reporting tools.
  • Coordinate and maintain Creative Services resource assignments by monitoring availability, workload, skillsets, project requirements, and staffing priorities to support effective scheduling, project coverage, and resource utilization.
  • Identify resource conflicts, capacity constraints, and scheduling gaps, escalating issues and supporting staffing recommendations based on project needs, resource experience, availability, and business priorities.
  • Assist with freelance and contractor coordination, including resource identification, onboarding support, and ongoing communication.
  • Identify opportunities to improve staffing, scheduling, reporting, and resource management processes, and support workflow improvements that enhance operational efficiency, visibility, and consistency.

Cross-Functional Coordination & Production Operations
  • Coordinate communication and collaboration across Creative Services, Technical teams, vendors, contractors, and other stakeholders to support project alignment, deliverable execution, and successful event delivery.
  • Coordinate production meetings, status updates, and stakeholder communications, identifying and escalating project risks, scheduling conflicts, and resource gaps as needed.
  • Assist with budget tracking, purchase orders, expense documentation, and other production support activities.
  • Maintain workflow tracking, project documentation, operational records, status reporting, and administrative processes that support production operations, resource planning, and leadership decision-making.

Event & Production Support
  • Support content collection, asset management, version control, and distribution of production materials, including project files, voiceover recordings, music assets, and other shared resources.
  • Assist with voiceover coordination, including scheduling, asset tracking, and distribution of scripts and finalized recordings.
  • Support onsite event execution, production logistics, post-event reconciliation, reporting, and other production support functions as business needs require.

Education & Experience
  • Bachelor's degree preferred, High School Diploma or Equivalent with relevant work experience required.
  • 2-5 years of experience in live event production, project coordination, or related field.
  • Experience maintaining operational records, reports, dashboards, and workflow tracking processes.
  • Experience coordinating freelance, contractor, or distributed creative teams.
  • Experience working with project management and workflow systems such as Workfront, Smartsheet, Monday.com, or similar tools.
  • Familiarity with operational systems and resource management platforms such as SRF, LASSO, Mertz, Workfront, and related workforce planning tools.
