About the Role
We are seeking a highly organized and proactive Project Delivery and Client Coordinator to oversee the successful execution of our construction and installation projects. This is a critical, on-site role for an independent contractor who thrives in fast-paced construction environments. You will act as the primary point of contact on-site, serving as the bridge between stakeholders, contractors, and vendors to ensure projects are delivered on time, within scope, and to our high standards.
Note: This role is city/region specific. To maintain focus and depth of understanding, you will be dedicated to one active project and its pre-planning phase at a time.
You will support the project lifecycle from pre-planning through final turnover:
- Pre-Project & Planning: Review site data, ROM budget assumptions, and sub-consultant proposals. Assist in managing permitting applications and coordinating topline schedules.
- Construction Oversight: Provide regular, hands-on site presence. Conduct weekly site walks to document progress, photograph work, and verify it against project schedules.
- Risk & Schedule Management: Proactively identify potential delays, document risks/variances, and maintain an active punch list of unresolved issues.
- Vendor & Inspection Coordination: Facilitate access and logistics for specialty show vendors. Manage relationships with inspectors and Authorities Having Jurisdiction (AHJs) to ensure critical milestones and inspections are hit on time.
- Reporting: Deliver concise, accurate progress reports to leadership. Maintain organized documentation, including daily reports, issue logs, and inspection records.
About You
- Local Experience: Direct experience supporting commercial construction projects. Bonus points for experience in immersive entertainment, museums, theme parks, or experiential environments.
- Technical Proficiency: You are comfortable reading construction drawings and schedules. Proficiency with project management software (e.g., Procore, Autodesk Construction Cloud, Smartsheet) is highly preferred.
- Permitting Savvy: Deep familiarity with permitting and inspection processes, including navigation of local and regional jurisdictional differences.
- Communication: Strong ability to communicate clearly with a diverse group, including contractors, designers, and executive stakeholders on multiple continents.
- Independence: You are comfortable working independently on an active construction site and can remain calm and solutions-oriented under pressure.
