Job description

Position Summary:

The Hotel Contracts Coordinator provides research, reporting, analysis, administrative support and customer service with hotels and client contacts along with internal staff. Assist Account Directors with hotel contracting preparation, follow-up and tracking.

Contract Administration and Other Duties:

  • Assist in preparation of contract renewals, addendums and RFPs for hotels on various events.
  • Review contract templates, make updates and save for different events and years.
  • Assist with contract review process, editing and feedback to Account Directors.
  • Collect data and follow up with hotels on status of addendums and RFPs.
  • Assist with AI data contract analysis and reporting information.
  • Ensure that contract folders are updated, and final PDF is in the Completed File for each hotel.
  • Update the Hotel Rebate Grid once contracts are complete.
  • Update spreadsheets and documents for reporting as necessary.
  • Enter reminders into Outlook for follow-up on rates and contract updates before events.
  • Assist inventory with contract and rate updates for event entry and follow-up.
  • Learn the hotel contract paragraphs to master the areas of negotiation and important requirements.
  • Support Account Management team during busy seasons with administrative and customer service support to hotels, attendees, and staff as needed.
  • Work with Account Directors on special projects as directed.

Job requirements:

  • Minimum of 5 years of administrative/customer service experience.
  • Strong administrative skills in an office/corporate environment.
  • Excellent written and verbal communication skills to include phone and email.
  • Able to work independently while coordinating with other departments and team members.
  • Multi-tasking skills and great attention to detail critical.
  • Proven customer service and strong interpersonal skills a must.
  • Confidence and professionalism in working with clients and guests as well as hotel contacts.
  • Extensive working knowledge of Microsoft Office including Word, Excel, Outlook and PowerPoint.
  • Demonstrate strong organizational skills by efficiently managing tasks, prioritizing workload, and meeting deadlines consistently.
  • Resourceful, strives for quality results, and takes initiative.
  • Proven attendance record expected.
  • Hotel administration, sales or operations experience preferred.
  • Flexible and open-minded person able to multi-task with various work styles.
  • Must be able to thrive in a remote work environment while maintaining a professional, distraction- free setting.

Prefer Local candidates - Remote position working from home. However, candidates must be on the same time zone (EDT) as the company. EOE.
