Since 1996, the Foundation has deployed approximately $115 million to more than 100 organizations and enterprises working across social enterprise and economic development, food systems, conservation and biodiversity, democracy and media, gender equality, and civil society.

With a team of three staff members, a seven-member board, and approximately $90 million in assets, the Foundation uses grants, investments, and strategic relationships to drive catalytic change.

The Woodcock Foundation is seeking a Grants & Operations Manager to oversee key administrative, operational, financial, technology, and grants management functions supporting the Foundation's work.

Reporting to the Executive Director and working closely with the Senior Program Manager, the successful candidate will play an important role in maintaining efficient internal systems, supporting grantmaking activities, coordinating with external accountants and consultants, and contributing to special projects.

• Support the full administrative lifecycle of the Foundation's grantmaking process.
• Prepare grant agreements and award letters.
• Track grant payments and grantee banking information.
• Maintain accurate records within the grants management system.
• Refine grant management workflows to improve efficiency and strengthen relationships with grantees.
• Coordinate grant reports and materials for Trustees, grantees, and other partners.

• Take ownership of operational practices and identify opportunities for improvement.
• Maintain technology, software, and team-wide administrative systems.
• Explore how technology and AI can be used effectively and ethically to improve organizational operations.
• Coordinate vendors, subscriptions, insurance renewals, and other operational logistics.
• Support personnel and operational policies.
• Identify ways to streamline processes and improve organizational effectiveness.

• Serve as the primary liaison with the Foundation's external finance and accounting team on non-investment matters.
• Manage financial communications, document flow, and approval processes.
• Support preparation of financial materials for grantmaking decisions, board meetings, and annual reporting.
• Track budgets and expenses.
• Process invoices in coordination with the external finance team.
• Maintain accurate financial and operational records.
• Apply basic nonprofit accounting knowledge, including charts of accounts, Form 990s, and budget tracking.

• Research emerging fields and areas relevant to the Foundation's mission.
• Manage consultants supporting operational improvement projects.
• Support board meeting planning and logistics.
• Assist with communications and presentation development.
• Take ownership of new projects, develop an approach, and move work forward independently.

• At least 5 years of relevant professional experience, ideally in nonprofit, philanthropic, operational, or financial management.
• Grants management experience is an advantage but is not required.
• Strong administrative and organizational skills.
• Ability to prioritize effectively and work independently.
• Excellent written and verbal communication skills.
• Strong proofreading and copy-editing abilities.

• Strong computer skills and proficiency with Microsoft Office.
• Comfort working with spreadsheets, budgets, records, and administrative systems.
• Interest in using AI and emerging technologies to improve organizational operations.
• Familiarity with nonprofit accounting concepts is preferred.

• Highly organized and detail-oriented.
• Self-motivated and dependable.
• Strong judgment and problem-solving abilities.
• Comfortable working with limited supervision.
• Able to manage multiple priorities within a small organization.
• Strong integrity, discretion, and respect for confidentiality.

The ideal candidate will be curious, adaptable, collaborative, and committed to continuous learning. They should be comfortable working across different areas of a lean organization and willing to step into new responsibilities as the Foundation's needs evolve.

The position is full-time, 40 hours per week, and exempt.

Salary: $90,000 to $110,000 annually, with the target starting salary positioned around the midpoint of the range depending on experience.

The Woodcock Foundation operates on a hybrid model. Team members are expected to work from the Foundation's Midtown Manhattan office at least once per week, with the flexibility to work from home frequently.

Employees may also work from the office more often if they prefer.
