Job description

Purpose and Scope
SUMMARY DESCRIPTION:
Under supervision, performs specialized, moderately difficult clerical work and applies varied procedures in accomplishing duties of a specialized function within a work location. Work involves a degree of independent judgment and some decision making based on experience or knowledge of a unit operation. Incumbent is required to assume specialized functions and duties learned only through job experience.
Essential Job Functions
  1. Performs routine, but varied clerical duties in accordance with standard procedures which may include photocopying, filing and tabulating information, answering phones, and distributing mail.
  2. Prepares various reports or tabulations from copy or rough draft, involving general or more technical information.
  3. Maintains specialized records, processes forms and reports of a specialized nature in a technical field or special unit.
  4. Utilizes data processing equipment for word processing, information input, and/or information retrieval.
  5. Interprets rules, regulations or procedures of an assigned unit.
  6. Responds to information requests, refers office callers, greets office visitors and explains well-defined and more complex rules and regulations.
  7. Maintains files and prepares reports and statistical data related to unit operation.
  8. Performs research, maintains records and assist in compilation of required data; makes routine mathematical calculations.
  9. Maintains confidentiality regarding departmental and business matters.
  10. Sorts, arranges, alphabetizes and files various correspondence, reports, vouchers and other materials; pulls requested materials from files.
  11. Applies knowledge of principles, practices, procedures, equipment, operation and organization of assigned unit.
  12. Performs related duties as required.

Minimum Qualifications
High school diploma or equivalent required and a minimum of two (2) or more years of progressively responsible clerical or secretarial experience required.
Degree Equivalency Formula:
Bachelor's Degree= 4 years plus required years of experience.
Master's Degree= 2 years plus required years of experience. Where Master's degrees are required, years for Bachelor's Degrees must be included.
