A Food Data Entry specialist is responsible for inputting, updating, and maintaining food-related data within databases or software systems. This can include nutritional information, ingredient lists, recipes, inventory details, and compliance records. About FPSA

The Food Production Solutions Association (FPSA) is a Northern Virginia-based trade association that provides networking, marketing, training and educational opportunities to the food processing and packaging industry. Our members include food producers, original equipment manufacturers, and service providers to the food and beverage industry.

Position Summary

FPSAโ€™s membership data is the foundation of nearly every function of the Association โ€” recruitment and retention, event registration, marketing campaigns, advertising partnerships, and revenue reporting all depend on it. As the Association expands its membership categories, marketing channels, and adds new events and programs, the accuracy, structure, and usability of that data have become central to the organizationโ€™s ability to operate and grow.

FPSA is seeking a Manager, Data & CRM Systems to own the integrity, administration, and strategic use of the Associationโ€™s Nimble AMS/Salesforce platform and related data assets. Reporting to the Director, Marketing, Communications and Design, this position serves as the Associationโ€™s system administrator and primary data resource, translating member and campaign data into reporting and actionable insights that informs decision making across departments. The role also supports front-line member transactions and event registration, ensuring the data captured at every member touchpoint is complete and reliable. The ideal candidate is a detail-driven, technically capable professional who works independently, identifies process improvements without being asked, and can communicate what the data means to colleagues who do not work with it daily.

Essential Job Functions Database & Systems Administration
  • Serve as the primary system administrator for Nimble AMS/Salesforce and a shared point of contact for the platform alongside the marketing and communications team, including user support, configuration, and troubleshooting.
  • Lead the expansion and optimization of FPSAโ€™s use of Nimble AMS, identifying underutilized functionality and implementing improvements that increase organizational efficiency.
  • Oversee the management and maintenance of all member data, ensuring integrity, accuracy, consistency, and appropriate data hygiene practices across the platform.
  • Establish and document data standards, naming conventions, and entry procedures, and train team members on their consistent application.
  • Manage integration and data exchange between the AMS and other Association platforms, including marketing, event registration, and partner systems.
  • Support the Director, Marketing, Communications and Design with audience lists, segmentation, and accurate contact data for campaigns and communications.
  • Identify opportunities to improve workflows, simplify processes, and reduce unnecessary manual data entry.
Reporting & Analytics
  • Create and distribute weekly, monthly, and ad hoc reports covering membership counts, member demographics, revenue, and retention performance.
  • Monitor and analyze membership and marketing campaign performance using relevant analytics and reporting tools.
  • Support the Director, Marketing, Communications and Design with email and digital marketing campaigns through list preparation, audience segmentation, campaign reporting, and basic quality checks.
  • Present data-driven insights that enhance strategy effectiveness, improve ROI, and identify cross-promotion opportunities across departments.
  • Support the growth of member companies and individual contacts in the database year-over-year through data analysis, list development, and prospect identification.
  • Conduct market research to identify new membership verticals, target audiences, and product positioning opportunities.
  • Provide current member and prospective member data to advertising and business partners in support of revenue generation efforts.
  • Create and maintain dashboards and recurring reports that make important information easy for team members to access and understand.
Member Services & Support
  • Serve as a contact for membership inquiries, renewals, and applications, ensuring a high standard of customer service and accurate recordkeeping.
  • Execute processes and reviews as required for FPSA billing and accounting functions.
  • Support the new member onboarding process, including collection and entry of member contact data, member portal setup, and portal tutorials.
  • Foster strong member relationships by responding to inquiries promptly and maintaining high-quality communication.
  • Provide occasional support to the Director, Marketing, Communications and Design with social media and other digital marketing activities, including content distribution, audience research, reporting, and other tasks as needed.
  • Identify recurring member questions, data issues, or process gaps and recommend improvements to appropriate team members.
Event & Program Support
  • Assist the VP of Operations in managing registration processes for FPSAโ€™s Annual Meeting (Food Solutions Exchange & Conference) and other organizational events.
  • Support event communications, registration reporting, attendee lists, and other data-related event needs.
  • Assist with registration and other duties onโ€‘site at the FPSA Annual Conference and additional Association events as assigned.
Other Duties
  • Collaborate with team members across departments to identify opportunities to improve the use of data and systems throughout the Association.
  • Act as the main point of contact for Nimble AMS.

  • Perform other duties as assigned in support of Association goals.
Education & Experience
  • Bachelorโ€™s degree required.
  • 3-5 years of Salesforce/Nimble AMS or membership database administration experience, preferably within a trade association, nonprofit, professional society, or membership-based organization
