Position Summary

The Private Wealth Client Service and Operations Sr. Associate supports Private Wealth advisors and their high-net-worth clients by delivering a seamless, white-glove experience through new client onboarding, business processing, ongoing account support, and operational execution. Serving as the primary liaison between advisors, clients, and the firm's outsourced Client Operations team (Focus Forward), this role manages the high-net-worth case pipeline from submission through completion while ensuring timely communication, operational excellence, and an exceptional client experience.

Key Responsibilities

Client Service & Case Management

  • Own the end-to-end management of the high-net-worth client case pipeline, ensuring every case has a documented status, clear next steps, and timely progression from onboarding through completion.
  • Oversee the setup of new Private Wealth client accounts and provide business processing support for life insurance, annuity, and premium finance transactions.
  • Review applications for accuracy and completeness, proactively resolving missing information, documentation, or signatures to prevent processing delays.
  • Coordinate with Focus Forward, custodians, banking partners, carriers, and other third-party providers to facilitate timely case completion and transaction posting.
  • Escalate complex or time-sensitive cases as needed to ensure exceptional service and timely resolution.

Advisor & Client Experience

  • Serve as the primary point of contact for Private Wealth advisors and clients, providing proactive communication and status updates throughout the client lifecycle.
  • Deliver a white-glove client experience by supporting relationship reviews, preparing client review materials and presentation decks, consolidating statements, coordinating gifts and special requests, and managing ongoing service requests.
  • Build trusted relationships with advisors and clients through responsive communication, operational expertise, and exceptional service.

Operations & Systems Administration

  • Maintain accurate client records and real-time case documentation within Salesforce and other systems of record.
  • Administer Salesforce Gateway account synchronization, DocuSign workflows, and support monthly RC posting as needed.
  • Manage Private Wealth projections and reporting to support business planning and operational oversight.

Continuous Improvement

  • Identify opportunities to improve operational processes, documentation, and workflow efficiencies to enhance the advisor and client experience.
  • Gather advisor and client feedback and recommend service enhancements that improve operational effectiveness and support the continued growth of the Private Wealth business.

Qualifications

  • Bachelor's degree in Business, Finance, or a related field preferred, or an equivalent combination of education and experience.
  • 3+ years of experience in financial services operations, client services, private wealth, or a registered investment advisor (RIA) environment; experience supporting high-net-worth clients preferred.
  • Proven ability to manage multiple client cases and priorities simultaneously while maintaining exceptional attention to detail and accuracy.
  • Strong organizational, problem-solving, and decision-making skills, with the ability to anticipate issues and proactively drive cases to resolution.
  • Excellent written and verbal communication skills with the ability to build trusted relationships with advisors, clients, custodians, carriers, and external business partners.
  • Demonstrated commitment to delivering a high-touch, white-glove client experience with a strong sense of ownership and accountability.
  • Proficiency with Salesforce, Black Diamond, DocuSign, and Microsoft Office; experience with RightCapital or similar financial planning platforms preferred.
  • High level of professionalism, integrity, discretion, and sound judgment when handling confidential client information.
  • Continuous improvement mindset with the ability to identify process enhancements that improve operational efficiency and the advisor and client experience.
