Vision of Excellence: 

The Student Recruitment & Enrollment Coordinator supports VISTA’s student recruitment, enrollment and family onboarding efforts by building strong relationships with prospective families and ensuring a welcoming, responsive, and high-quality experience. 

This role serves as a frontline ambassador for VISTA by supporting community outreach, lead generation, family engagement, campus tours, enrollment conversion, and onboarding systems.  The Coordinator plays a critical role in helping VISTA meet enrollment and persistence goals while ensuring families feel informed, connected, and supported throughout the enrollment process. This role will report directly to the Chief Operating Officer. 

Key Responsibilities

Family Outreach & Enrollment Support 

  • Conduct timely outreach to prospective families via phone, text, email, and in-person communication
  • Support families in completing enrollment applications and collecting required documents
  • Follow up consistently with prospective families to move leads toward enrollment 
  • Maintain strong customer service and relationship-building throughout the enrollment process
  • Ensure prospective families receive accurate and timely information about VISTA schools and programs 

Campus Tours & Family Experience

  • Coordinate and support high-quality campus tours for prospective families 
  • Help create welcoming experiences during family visits and enrollment events 
  • Support family engagement events, recruitment events, and community outreach initiatives 
  • Represent VISTA professionally within the community and during outreach efforts 
  • Support additional family engagement and persistence initiatives as needed

Recruitment Operations & CRM Support 

  • Accurately track and update prospective family information within HubSpot and enrollment systems 
  • Maintain organized records and ensure data accuracy within recruitment pipelines 
  • Support recruitment communication campaigns and enrollment follow-up systems 
  • Support execution of social media, marketing, and community awareness efforts 
  • Assist with monitoring open seats, waitlists, and enrollment progress 

Community Outreach & Lead Generation 

  • Participate in canvassing, flyer distribution, tabling events, and community partnerships 
  • Support grassroots recruitment efforts across VISTA communities 
  • Build positive relationships with families and community organizations
  • Assist with seasonal recruitment campaigns and enrollment initiatives 

New Family Onboarding Support

  • Support onboarding meetings and communications for newly enrolled families
  • Help ensure families are prepared for their student’s first day at VISTA 
  • Assist with family reminders, event communication, and enrollment completion tasks

  • Ability to stand for extended periods during events, canvassing initiatives, and outreach activities 
  • Ability to lift, transport and set up event materials and supplies.
  • Occasional evening and weekend work required during peak recruitment season
