The Project Management Office has an exciting opportunity for a full-time Business Systems Analyst I to work on-site in Coral Gables, FL.
This position serves a dual function, combining responsibilities as a Business Systems Analyst supporting project management systems with active involvement in process improvement and project management initiatives. The role focuses on optimizing system functionality, enhancing user experience, and aligning technology solutions with business needs, while also contributing to process design, workflow optimization, and the successful delivery of strategic projects across the organization.
CORE JOB SUMMARY
The Business Systems Analyst 1 assists with the collection of data and provides analysis to support the development of technology plans and strategies to enhance overall performance, reduce costs, and increase efficiencies. The Business Systems Analyst 1 analyzes established operations, systems, methods, practices, and procedures to evaluate their effectiveness and ultimately make recommendations for new processes and procedures.
CORE JOB FUNCTIONS
  • Develops detailed action plan with goals and target dates and obtains necessary approvals.
  • Maintains ongoing communication and rapport with managing staff. Flowcharts existing processes versus improved flow.
  • Prepares time and cost estimates for projects and proposals. Conducts research for best practice models and benchmarking.
  • Applies industrial and management engineering techniques such as process designs, optimizations models, forecasting methodologies, and chain management principles, to improve overall systems.
  • Analyzes existing flow of people, activities, and materials, employee work methods and utilization, policies and procedures, staffing levels, supervisory structure, space utilization, supply and demand optimization methods, forms, equipment, and computerized systems.
  • Designs improved work systems by revising work standards, policies, and procedures.
  • Designs systems for production and inventory control in buying, storing, handling, processing, and usage of materials and supplies.
  • Assists with design of facilities and management systems and standard operating procedures.
  • Develops management control systems to aid in financial planning and cost analysis.
  • Improves productivity through the application of technology and human factors.
  • Assists with designing supply chain management standards across the institution.
  • Collects data to measure baseline versus improvement before and after recommendations are implemented.
  • Prepares presentations of projects and studies, including data collected, methodology used, results obtained, recommendations for improvement, and cost and savings involved.
  • Participates in continuing quality improvement activities.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

CORE QUALIFICATIONS
  • Bachelor's degree in relevant field required
  • Minimum 1 year of relevant experience required

Department Specific Functions
  • The Systems & Operations Analyst plays a critical role in supporting ePMO operations by maintaining and enhancing core business systems-particularly Smartsheet-to ensure data integrity, usability, and alignment with organizational needs.
  • This role also manages complex administrative workflows and delivers high-quality executive support through the development of leadership-ready content, reports, and presentations.
  • The Analyst serves as a key connector between systems, processes, and stakeholders, driving efficiency, clarity, and informed decision-making across the portfolio.
