Parts Coordinator

About the Role
We are seeking a detail-oriented Parts Coordinator to support a growing industrial equipment sales and service team. In this role, you will work directly with customers, field service technicians, vendors, and internal departments to research, quote, and process parts orders while ensuring timely and accurate service.
This is an excellent opportunity for someone who enjoys solving problems, coordinating multiple priorities, and learning technical products in a fast-paced environment.
Responsibilities
- Communicate with customers and field technicians by phone and email.
- Gather information needed to identify the correct replacement parts.
- Research and verify part numbers for accuracy.
- Prepare and send customer quotes.
- Check inventory, pricing, lead times, and shipping options.
- Source alternative suppliers when appropriate to reduce costs or improve delivery times.
- Process customer orders and purchase orders using ERP/CRM systems.
- Coordinate warranty claims and replacement parts.
- Provide order updates, tracking information, and estimated delivery dates.
- Maintain accurate records and documentation throughout the order process.
What We're Looking For
We're open to candidates from a variety of backgrounds and provide training on our products and internal systems.
Ideal experience includes:
- Parts Coordinator, Parts Counter, or Parts Advisor
- Purchasing Assistant or Buyer
- Inventory or Supply Chain Coordinator
- Service Coordinator or Dispatcher
- Customer Service or Inside Sales in an industrial, manufacturing, automotive, heavy equipment, HVAC, or distribution environment
- Administrative support in a technical or service-based business
Successful candidates will have:
- Excellent attention to detail

- Comfortable learning technical products and multiple software systems
- Strong organizational and time management skills
- Customer-focused mindset
- Experience with ERP, CRM, inventory, or quoting software is a plus
