Job description
Assist the residential manager in administering ongoing operations and day-to-day operation functions and assist the residential manager.
Position Type:
Full-Time/Regular
Essential/Primary Duties:
Scheduling/Employee Hours/Payroll
- Create a weekly schedule based on coverage needs, monitoring time-off requests and training requirements to adjust as needed.
- Assist in finding shift coverage when staff cannot work due to call-ins, disciplinary action, training requirements, or no-call no-shows.
- Monitor employee hours weekly to ensure they reach the appropriate amount.
- Correct any errors in staff time sheets. Assist in adding personal/vacation hours when needed.
- Approve timesheet hours multiple times a week.
- Confirm approval of all staff timesheet hours to the HR Payroll specialist at the timesheet due date twice monthly.
Client Specific Tasks
- Complete client orientation/ house rules for new clients.
- Monitor the client's ability to follow through with house responsibilities
- Confiscate electronics (such as cell phones, laptops, tablets, etc.) if the policy is not followed (turning in electronics at the designated time each night).
- Perform chore list audits multiple times weekly to determine who fails to do their chore and apply the appropriate consequences.
- Provide immediate redirect clients & staff when they are not following any other house responsibilities/rules/norms
- Respond to client messages and provide and relay the message to the Residential Program Manager.
- Coordinate clients' transportation, outings, and events logistics, as required.
Report Staff-Specific Tasks
Ensure staff comply with the appropriate expectations regarding their behavior towards clients, completing job duties, and following/implementing policies/procedures.
- Monitor Epitomax hourly documentation to ensure it is completed by each shift daily.
Assistant Specific Tasks
- Learn and get familiar with Wisconsin State Community Based-Residential Facilities, Chapter DHS 83.
- Complete monthly fire drills to ensure the program complies with state regulations.
- Complete weekly audits of the Safety Binder to ensure it is kept current.
- Send report to contact at Boelter to order cleaning supplies for the house.
- Monitor and help the PA lead submit maintenance reports
- Provide follow-up assistance to ensure maintenance requests have been handled in a timely and appropriate fashion.
- Ensure houses and PA offices have all the necessary supplies needed to perform their job duties
- Ensure PAs have the appropriate access to all online tools needed to perform their duties (HSD shared folder, Outlook, Epitomax, etc.)
- Address staff concerns as needed; encourage staff to share ideas and suggestions.
- Inform the supervisor about pertinent issues
- Receive and sort incoming donations according to established guidelines. Categorize donations based on type, condition, and usability.
- Determine the appropriate disposition of donations, such as distribution or disposal.
- Maintain an organized and friendly filling system that is categorized chronologically.
- Identify and evaluate potential suppliers based on quality, price, and delivery terms.
Documentation/ Reports
- Complete monthly fire drills to ensure the program complies with state regulations.
- Plan and lead training on system/process changes within the department
- Complete, review, and maintain all logs and files in an organized manner.
Maintenance:
- Conduct regular inspections of the program and vehicle(s); Submit Maintenance Requests as needed; ensure all maintenance follow-up is completed.
- Ensure preventative maintenance of the program/vehicle(s), including regular vehicle service and inspections.
- Report any maintenance issues in the residential houses and ensure all maintenance follow-up is completed.

Bachelor's degree in social work, Human Services, or related field, relevant experience in the field of substance abuse treatment may be substituted for some of the educational requirements and vice versa. Professional experience with supervision preferred. Bilingual (Spanish/English) is strongly desirable. Valid WI driver's license and insured vehicle.
Working Conditions:
Work hours: Departmental business hours with the possibility of evenings, weekends, and holidays as necessary. Possibility of 24-hour emergency availability. Travel in the community includes weekends and holidays.
