Job Description

UTA seeks an Associate, Finance & Operations to join UTA Advisory in New York. This team partners with global brands — Delta Air Lines, General Motors, Lyft, and LinkedIn, among others — to develop initiatives that help them stand out across entertainment and culture.

The Associate is the connective tissue of this team's day-to-day operations, spanning financial ops, project and staffing ops, and systems work across Airtable, Salesforce, Hive, and AI platforms. The remit is two-sided: run today's workflows with precision, and convert manual work into automated, repeatable processes that scale. This is a builder's role with real room to grow — as volume increases, the Associate is expected to move from executing tasks to owning workstreams, designing how work gets done, and presenting plans directly to leadership in the context of strategic operations and financial excellence.

The salary range for this role is $75,000 to $85,000 commensurate with experience and skills.

What You Will Do
  • Run the active payments queue - 70+ vendor, talent, and live-performance invoices -making real-time calls on urgency, escrow fronting, and exceptions.
  • Own remittance and reconciliation end-to-end, using AI-assisted workflows to match deposits to invoices and partnering with back-office partners and financial data management.
  • Drive vendor and client onboarding from intake to live: supplier forms, due diligence, security review, MSA setup, and Ariba/portal coordination.
  • Help coordinate employee onboarding and offboarding including system access, setup and trainings.
  • Own product placement operations: shipments, metadata, client-specific tagging, and the daily upload workflow.
  • Design and build Airtable schema, automations, and form guardrails that turn manual processes into self-running workflows.
  • Run the Hive support inbox and support ongoing system upgrades — dashboards, training materials, and hypercare responsiveness.
  • Build SOPs and recorded walkthroughs so every process is transferable, not dependent on a single operator.
  • Partner with planning on sales forecasts and utilization reporting and bring self-initiated improvement plans to leadership.
Performance Assessment Metrics
  • Throughput and accuracy across the payments queue and reconciliation cycle.
  • Sustained Airtable, Salesforce, and Hive data integrity, audited and verified.
  • Initiative — workstreams owned end-to-end, with self-driven plans presented to leadership.
  • Automations shipped and net hours returned, measured per quarter.
  • Process documentation (SOPs, walkthroughs, exception docs) kept current.
  • Cross-functional partnership with Finance, Technology, and client-facing teams.
What You Will Need
  • Strong Excel / Google sheet skills required
  • Strong interest and demonstrated experience in AI tooling and automation workflows
  • Airtable or low-code software building skills required
  • Salesforce proficiency
  • Familiarity with bookkeeping / accounting best practices
