Job description

Position Summary:

The California Film Institute's Education Department is seeking a detail-oriented, highly organized individual to join our team as an Education Coordinator during the Mill Valley Film Festival (MVFF). As part of MVFF, CAFILM Education invites Bay Area schools to participate in our in-person screenings at the Smith Rafael Film Center, online screenings as part of MVFF Education, and our Filmmakers Go To School program. This short-term, contract-based role will support the planning, coordination, and execution of our education programming for the festival, working closely with our Education Director and Education Manager. The ideal candidate thrives in fast-paced environments, enjoys working with students, educators, and filmmakers and has strong communication and logistical coordination skills.

Key Responsibilities:

Programming Coordination

  • Assist with coordinating festival screenings involving filmmakers and guest services
  • Support the slotting and scheduling of MVFF Education films
  • Help draft and edit film descriptions and program copy
  • Track deliverables for curriculum guides and support guide creation
  • Monitor, update and track films for online access

Event & Logistics Support

  • Coordinate special events and screenings hosted by the Education department during MVFF
  • Help manage the buildout and updates to theater schedules and registration forms
  • Help track school registrations for MVFF Education screenings
  • Support outreach to educators regarding sign-ups, confirmations, and general communication
  • Liaise with bus companies and ensure transportation logistics are confirmed for school groups

Outreach & Marketing

  • Assist with outreach to schools and organizations across the Bay Area
  • Support the creation and distribution of promotional and informational materials

During Festival Support:

  • Support Education Screening Introductions and Q&A
  • Lead and assist with filmmaker classroom visits via our Filmmaker Go To School Program

Assist with MVFF Education events, receptions and screening throughout the festival

Qualifications:

  • Experience in event or program coordination, preferably in arts, education, or film
  • Exceptional attention to detail and ability to manage multiple deadlines
  • Strong written and verbal communication skills
  • Comfort with Google Workspace (Docs, Sheets, Drive), and basic database tools
  • Familiarity with Cinesend or other digital screening platforms is a plus
  • Ability to work both independently and collaboratively
  • Experience working with schools or educators is a bonus
  • Availability weekdays and weekends during festival dates
