PRIMARY OBJECTIVE OF POSITION

Manage the staff and tasks performed in the Shipping Department to ensure all products are accurately tracked and shipped to the appropriate customers and patients in a safe and efficient manner.


DUTIES AND RESPONSIBILITIES / ESSENTIAL FUNCTIONS

  • Coordinate with upper management and Human Resources to drive the recruiting, selection, and hiring process for Shipping Department staff
  • Provide and track appropriate training opportunities for team members to include equipment operation training, safety training, computer skills training as necessary, and thorough training in all company policies and procedures
  • Enforce and maintain compliance with all company policies and procedures as well as all federal, state, and local warehousing, material handling, and logistics requirements
  • Maintain Shipping Department staff performance results by coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results and motivating the team
  • Adhere to GMP and fulfill all QMSM and Quality Assurance responsibilities.
  • Set and monitor department performance goals, ensure goals are met, and communicate results as required by management. Always provide an explanation for any shortcomings and a plan for future improvement.
  • Communicate in a clear and timely manner to employees in an environment that may be loud and filled with frequent distractions
  • Communicate frequently with other departments and members of management to ensure all efforts are coordinated and potential improvements in performance can be realized
  • Verify inventory by performing regular product counts and ensuring actual quantities match company records
  • Review customer orders, work orders, shipping orders and requisitions to determine items to be moved, gathered, or shipped and communicate results and instructions to the Shipping team. Ensure rush shipments are given priority
  • Manage the verification, acceptance, counting, condition, and tracking records of all products. Ensure the FIFO (First in First Out) inventory flow system is applied to all goods and materials
  • Verify that the item(s) being shipped matches its label and meets the specifications required by the shipping order for size, style, quantity, etc.
  • Resolve discrepancies between orders and products such as delays, condition, weight, quantity, etc.
  • Earn and maintain a forklift certification. Use the forklift and other powered industrial equipment as well as non-powered equipment to safely move products within the facility. Products will also be carried by hand
  • Follow up on any reports of damaged product and inform appropriate personnel so the problem can be corrected, and steps taken to avoid future occurrences
  • Ensure all products are properly labeled within the facility for inventory purposes and shipping boxes are properly labeled for accurate deliveries
  • Confirm that drivers depart with the appropriate paperwork
  • Ensure that shipping stations are working properly and reorder shipping materials when a replenishment order is required
  • Make safety a priority consideration with all actions taken within the department. Partner with general liability insurance provider and/or the insurance brokers' loss prevention specialists to identify and correct any potential safety hazards. Promptly respond to any OSHA inquiries
  • Proactively seek out safety and loss prevention feedback from team members, ensure all appropriate and required safety signage is properly posted, and utilize a safety committee or toolbox talk approach to provide feedback and training to foster a strong safety culture
  • Immediately treat and respond to employee injuries. Provide the required injury reports to Human Resources. Investigate the cause of all accidents and take steps to ensure similar accidents are prevented in the future.
  • Safeguard shipping operations and products by establishing and monitoring loss prevention security procedures and protocols
  • Maintain the physical condition of the warehouse facility by planning and implementing innovative design layouts when appropriate; inspecting equipment; maintaining a high standard of cleanliness and orderliness by enforcing 5S procedures; conducting Kaizen events, performing maintenance and repair of shipping equipment or issuing work orders for repair and requisitions for replacement of damaged, broken, or worn-out equipment
  • Support Lean and Six Sigma initiatives
  • Assist with FDA audits
  • Achieve financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; and initiating immediate corrective actions for budget overages
  • Maintain personal professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies and earning OSHA certifications.
  • Assist department personnel with shipping and receiving responsibilities, loading trucks, and checking in items, as well as aiding others within the facility as needed
  • Working with and maintaining automation machinery.

Requirements

QUALIFICATIONS


EDUCATION

REQUIRED:

  • Associates Degree in Warehousing, Logistics, Industrial Management, Business Management, OR 3+ years of equivalent professional experience
  • Must either possess or be able and willing to earn a forklift certification


PREFERRED:

  • Bachelor's degree in Warehousing, Logistics, Industrial Management, Business Management, OR 5+ years of equivalent professional experience
  • OSHA 10-hour training certification

EXPERIENCE AND SKILL

REQUIRED:

  • 5 years of warehouse, shipping, or material handling experience
  • Proficient in product demand forecasting
  • 2 years of Supervisory experience

PREFERRED:

  • 10 years of warehouse, shipping, or material handling experience
  • Bilingual Spanish skills
  • Experience with FIFO philosophies and procedures
  • Experience working with an RF scanner
  • Experience with UPS and FedEx software
  • Experience with automation machinery
