Summary: The Director of First Impressions is the first person who comes in contact with all persons who enter the premises or contacts Retirement Investment Advisors, Inc. (RIA). In doing so, this person is the first impression a person will make of RIA. It is imperative that the Director is always professional. The Director must always maintain a positive attitude while conducting daily duties and responsibilities. Prompt responses to potential lifetime clients (PLCs) and client needs, inquiries and requests are encouraged.

Duties and Responsibilities:
  • Answer the telephone, retrieve messages, and manage caller voice mail
  • Organize Monday morning staff meetings; provide Advisor calendars, etc.
  • Prepare daily mailings and FedEx deliveries
  • Check obituaries daily
  • Make appointment reminder phone calls directed at clients and potential ongoing clients daily
  • Oversee conference rooms by straightening, disinfecting, and cleaning glass top conference tables
  • Sort mail to all members of staff
  • Log checks (investment and fee) delivered in person, FedEx, UPS, and USPS on appropriate tracking spreadsheets
  • Maintain daily logs for FedEx, UPS, and deliveries both in-coming and out-going
  • Aid with organization and implantation of Client Appreciation Event(s)
  • Mail Client Appreciation event invitations and survey letters
  • Prepare client birthday letters/cards and distribute to each advisor for signature, along with preparing for mailing
  • Assist with production and distribution of cards/letters for Valentine’s Day, Independence Day, Thanksgiving, Christmas, and year-end newsletters
  • Add specified criteria to data management system for receipt of RIA newsletter to clients and PLCs
  • Supervise on-site shredding to ensure destruction of confidential material
  • Update outgoing voicemail for office closings and holidays
  • Prepare coffee, kitchen clean-up, supply maintenance in specified storage cabinets/closets, etc. each morning
  • Close blinds, kitchen clean up, finalize outgoing FedEx and USPS package delivery (sealing and placing in corresponding carrier pick up boxes), etc. at the close of the office each day
  • Assist Marketing with mailing projects
  • Document all correspondence (written and oral) with a client or PLC within available database software
  • Duties as the need arises
Knowledge, Skills and Abilities:
